Job Summary:
Symphony Medical, PC is seeking a highly organized and detail-oriented Temporary Administrative Coordinator to manage critical scheduling, payroll, recruitment, and administrative duties. The ideal candidate will be responsible for employee scheduling, time approval, payroll processing, and related tasks to ensure smooth operations within the organization. This is a temporary position, with daily, bi-weekly, monthly, and ad-hoc responsibilities to support the administrative needs of the team.
Symphony Medical, PC is seeking a highly organized and detail-oriented Temporary Administrative Coordinator to manage critical scheduling, payroll, recruitment, and administrative duties. The ideal candidate will be responsible for employee scheduling, time approval, payroll processing, and related tasks to ensure smooth operations within the organization. This is a temporary position, with daily, bi-weekly, monthly, and ad-hoc responsibilities to support the administrative needs of the team.
Key Responsibilities:

Recruitment:
- Arrange candidate interviews
- Post job ads, screen resumes, provide leadership with updates and feedback on candidates
- Provide weekly updates on candidate status and hiring needs
Scheduling & Time Management:
- Manage employee scheduling in accordance with availability and time-off requests.
- Approve and categorize time-off requests as vacation or PTO following company policy.
- Collaborate with Physician Leadership to review clinical schedules for fairness.
- Track off-shift distribution and clinical hours to meet full-time employee targets.
- Manage per diem requests and holiday coverage prioritization.
Payroll Processing:
- Process payroll bi-weekly for clinicians.
- Reconcile payroll reports with time logs from the Deputy schedule.
- Ensure schedulers approve timesheets by the deadline.
- Communicate payroll changes (e.g., PTO payouts, prorated pay) and ensure accurate payments.
- Confirm that employees not scheduled are still compensated, as needed.
- Reconcile payroll sums with the Paychex Journal and account for additional wages like retention bonuses.
Unsigned Chart Notifications:
- Bi-weekly, coordinate the unsigned chart reports from Meditech.
- Upload reports to the master document, clean data, and run Excel Flow to notify employees.
- Provide summary data to leadership, identifying pay suspension employees, if applicable.
PTO Management:
- Track and update employee PTO balances and prorated time.
- Communicate with providers monthly regarding their clinical hour targets and PTO balances.
General Administrative Support:
- Handle various other administrative tasks and duties as assigned by leadership.
Qualifications:
- Previous administrative or coordination experience, preferably in a healthcare setting.
- Familiarity with payroll systems such as Paychex and scheduling software like Deputy.
- Strong proficiency in Microsoft Excel and data management.
- Excellent organizational skills and the ability to multitask effectively.
- Strong communication skills, both written and verbal, with the ability to interact with leadership and staff professionally.
- Ability to handle sensitive information with discretion and maintain confidentiality.
