We have a current opportunity for an Administrative Coordinator (Litigation Support) on a contract basis. The position will be based in New York. For further information about this position please apply.
* Provide day-to-day support for all Criminal Defense Practice operations
o Creating and manage sign-up sheets for each day for all CDP staff
* Provide operational support for Criminal Defense Practice training.
o Communicating requirements to attendees and responding to questions
o Coordinating the appropriate number of volunteers to come to each training as helpers.
o Helping people sign-in when they arrive
o Setting up coffee/doughnuts in the morning (8:45AM) and lunch (1:00-2:00)
o Printing and handing out materials as needed
o Managing loaner laptops to ensure they are set up and returned to charging station
* Assist with coordination among different departments and vendors
* Provide operational support for the Criminal Defense Practice hiring process
* Coordinate recruitment efforts through job postings and offer letters
* Handle highly confidential and valuable information and materials
* Perform all other duties as assigned by the Attorney in Charge of Litigation Support and Administration
* Manage vendor accounts and review and processes invoices
* Assist with special projects of the Criminal Defense Practice and coordinate with administrative departments
* Assist in data analysis and coordinate testing of software.
* Assist in software testing to ensure data integrity.
* Coordinate the collection of expenditure reports from partner agencies on select government and private grants on a periodic basis for submission to the fiscal staff to support vouchering efforts
* Coordinate the collection of invoices from vendors and coordinate with office administrator across the City to ensure all are processed correctly and timely
* Responsible for detailed planning and status of projects as they arise
* Other duties as assigned
Key Requirements:
* Bachelor's degree or equivalent experience
* Ability to learn new software quickly and demonstrated proficiency in intuitively understanding technology
* Excellent writing, editing, and oral communication skills
* Excellent interpersonal skills
* Excellent ability to meet deadlines and work under pressure
* Excellent attention to detail and organizational skills
* Ability to maintain strict confidentiality
* Some knowledge of the criminal legal system
* High degree of proficiency with Microsoft Office, especially Outlook, Teams, and Excel
* Comfortable analyzing data and familiarity with data entry.
* Experience with software testing is desirable but not required. Strong computer skills and experience working with systems such as ADP, Blackbaud, SharePoint, etc.
* Familiarity with or ability to quickly learn LawManager or other case management systems
* Must be able to work independently and initiate, design, and implement new procedures
* Ability to respond quickly and calmly in emergencies and problem situations is essential
* New York State Notary Public or willing to become one
