Mountain Alarm, a Pye-Barker Fire & Safety company, is hiring for an Administrative Coordinator in our Corporate branch located in Ogden, Utah.
Position Summary: The Administrative Coordinator has broad administrative responsibilities to support corporate customer service and accounting departments. The individual in this role must have the ability to manage a demanding and ever-changing workload through acquisitions and customer maintenance.
Duties & Responsibilities:
- Maintain newly acquired paper and electronic files from company acquisitions
- Processes acquisition customer files by pulling contracts, verifying customer status, redacting old files and uploading pertinent documentation into customer accounts
- Obtain signed renewal agreements from customers without sufficient contracts on file
- Complete contract linking
- Process signed agreements per company protocol following checklists and data entry format
- Assure company data entry format standards are met for each account and verifies information accuracy across multiple platforms
- Assist Accounts Receivable department with various tasks and projects including clean-up of accounts reporting issues from printing center
- Acts as back-up when Corporate Office Manager is away or out of office and performs overflow duties
- Perform a variety of clerical duties such as photocopying, filing and data entry
- Assists in additional corporate projects as assigned
Education & Required Skills:
- High School Diploma / GED
- 1+ years' related experience or training
- Exemplary customer service skills
- Excellent written and verbal communication skills
- Must possess strong time management and organizational skills
- Must be able to type proficiently and have a working knowledge of MS Office products
- Competent ability to originate and correspond by email
- Must read and speak English
