About the Job
We are seeking a skilled Administrative Coordinator to join our team. In this role you will work directly for the Regional Vice President and Branch Team Leaders assisting and helping them in the planning, organizing, supervising, and scheduling of multiple commercial low voltage projects, as well as any support needed for the installation/sales teams. The person needs to be very detailed and organized, and ideally have experience working with a contractor in commercial construction, an Architectural or Engineering firm.
Primary Responsibilities:
- Based on input from our manager supervisors, and foreman you will procure material, create, and track change orders, project punch lists, RFI’s as well as schedule and coordinate equipment delivery as needed.
- Gather, organize, and maintain the project files consisting of contract drawings, specifications, change order logs, RFI’s and other correspondence as well as CSI proposals and shop drawings.
- Work directly with the Accounting and Purchasing team on material orders and bookings
- Assist customers getting any questions and concerns in a timely and professional manner.
- Complete all appropriate company paperwork as required.
- Answering Phones.
- Maintain office supplies.
- Coordinating with warehouse - shipping/receiving, job staging.
- Create material order requests and stage materials for jobs.
- Coordinating with warehouse for shipping and receiving equipment and material.
- Sorting and grouping received equipment and material into individual job bins for technician pickup.
Basic Qualifications:
- Valid driver's license with a clean driving record.
- Applicants must meet requirements in relation to background and driving record.
- Must be highly proficient working in an office environment and the use and application of industry related tools including MS Office, Word, Excel
- Must have excellent communications skills, using tact and diplomacy when dealing with customers.
- Regular, reliable, predictable attendance.
Added Value Qualifications:
- Creating & Filing of NOC’s.
- Creating and submitting Fire-Alarm & Low-Voltage project permits.
- Smartsheet & Bluebeam software programs
