Administrative Officer 1
What You Will Be Doing:
This position manages and coordinates administrative activities to ensure the integrity of personnel functions at the Alaska Psychiatric Institute (API).
- Personnel Management and Administrative Support:
- Provides daily guidance on personnel processes, procedures, and services, such as oversight of payroll and recruitment activities.
- Oversight of HR actions and provides daily guidance and direction to managers and supervisors on personnel processes, procedures, and services including recruitment, training, performance evaluations, discipline, and potential concerns for labor relations, referring staff to department consultants as necessary.
- Oversight of hospital-wide recruitment activities
- Budget and Financial Management:
- Prepares and updates Personal Services module for budget submission.
- Tracking and updating overtime reports and assisting with annual cost reporting.
- Work closely with hospital leadership and division management to develop plan for budgetary needs to ensure available positions/resources meet programmatic goals and patient care standards.
- Supervision:
- Responsible for supervising three positions. Provide training and guidance to subordinate staff.

The selected candidate will work in an environment that is fast paced, busy and challenging at times, but embraces collaboration through working closely with supervisors, managers, and personnel to assist in providing services to Alaska Psychiatric Institute.
This position is located at 3700 Piper Street in the U-MED district of east Anchorage which offers several maintained walking trails, parks and nearby lakes. This area is filled with several restaurants, shopping stores, and has easy access to public transportation.
Who We Are Looking For:
Below are the knowledge, skills, and experience that demonstrate the skills we are seeking:
- Experience with personnel management and supervision.
- Ability to effectively and independently organize work time, establish priorities, multi-task with frequent interruptions, meet reporting deadlines, and exercise sound judgment.
- Knowledge and use of integrated accounting and data reporting systems, such as the State's IRIS (FIN and HRM), ALDER, Alaska Budget System (ABS), and the Online Position Description system (OPD), and/or similar programs.
- Familiarity with reading and interpreting Contracts, Regulations, processes, such as Bargaining Unit contracts.
- High level of proficiency in the use of Microsoft Office systems.
