Job Title: Administrative Operations Director
Position Summary:
The Administrative Operations Director will lead and coordinate the day-to-day business operations for Omni Wound Physicians, ensuring efficient workflows, robust interdepartmental relations, and effective third-party vendor management. This role oversees critical functions such as supply chain, revenue cycle management, medical records, provider and client relations, contract negotiations, and device management. The Administrative Operations Director will maintain a dotted-line relationship with clinical, legal, finance, sales, HR, and tech departments to drive company goals and streamline operational processes.
Key Responsibilities:
Third-Party Vendor Management
Oversee vendor relationships, monitor performance, and ensure service agreements meet Omni Wound Physicians' standards.
Develop and execute strategies for optimal vendor engagement and cost-effective supply chain management.
Supply Chain Management
Manage inventory levels and supply orders to support clinical and operational needs without disruption.
Ensure cost control and efficiency within the supply chain process.
Revenue Cycle Management
Collaborate with finance to oversee the revenue cycle, from patient billing to payment collection, ensuring timely and accurate processing.
Work closely with billing teams to identify opportunities for revenue optimization.
Interdepartmental Relations
Foster strong communication and collaboration between clinical, finance, sales, HR, and tech departments.
Serve as the main point of contact for operational issues across all departments, providing support and guidance as needed.
Medical Records Management
Ensure compliance with regulatory standards for medical records, including secure storage, timely access, and proper documentation.
Work with IT to maintain electronic records and ensure the security and integrity of all patient information.
Provider and Client Relations
Act as a liaison for providers and clients, addressing concerns, coordinating services, and maintaining positive relations.
Ensure that provider credentials and insurance certifications remain up-to-date to support smooth operational functions.
Insurance and Compliance Management
Track provider insurance policies to prevent lapses in coverage and ensure alignment with industry standards.
Coordinate with compliance teams to uphold Omni Wound Physicians' regulatory obligations.
Contract Negotiations and Management
Negotiate terms with both new and existing third-party vendors and clients to ensure favorable conditions and cost efficiency.
Review contracts regularly to maintain relevance and ensure compliance with company policies.
Device and Equipment Management
Oversee device procurement, usage, and maintenance to support both clinical and administrative needs.
Manage relationships with equipment suppliers and address any issues related to device functionality.
Strategic Oversight and Reporting
Report to executive leadership on operational performance, including areas for improvement and potential risks.
Create and implement strategic initiatives to drive business efficiency and operational excellence.
Qualifications:
Bachelor’s degree in Business Administration, Healthcare Management, or a related field (Master’s preferred).
4+ years of experience in healthcare operations, including roles in revenue cycle management, supply chain, or vendor management.
Demonstrated experience managing inter-departmental projects and overseeing complex operational functions.
Strong negotiation and contract management skills.
Familiarity with medical records management systems and compliance standards (e.g., HIPAA).
Excellent communication and interpersonal skills, with the ability to work effectively across multiple departments.
