About the Job
Administration Work with Dean and other SI staff to execute financial transactions, including paying invoices, purchasing equipment and supplies, and working with vendors and administrative offices to ensure payment and delivery. Provide office management for the SI office; Hire and oversee SI office student workers. Work to streamline and make efficient administrative operations through collaborating with relevant offices as needed Respond to telephone and in person inquiries, following up with various constituents, and making referrals. Maintain databases and digital files via Google Drive and other systems as needed. Provide support or oversee student support to key School committees, such as Faculty Council and faculty search committees Process honorarium and consulting payments and academic stipends Provide Dean administrative support when needed. Instructors and Students Ensure that instructors and student needs are addressed at time of course or event delivery, such as working to resolve issues around space and technology. Provide information, resources and services to all visitors, including prospective School of Information students. Facilities Manage School of Information facilities, including space for courses/events and requests for uses of space from other schools/departments. Work with Space+Technology committee and Dean to ensure facilities needs are prioritized and addressed. Make capital purchases, such as computers, furniture, and equipment. Manage SI spaces, such as classrooms, common areas, and other spaces. Events Manage school events, including catering and coordinating with various offices and vendors. Assist dean with planning regular and special events. Be able to provide tours of school facility in Manhattan and speak compellingly about the school. Bachelor's degree from accredited college or university. 2-3 years administrative experience preferably in a higher education environment. Ability to use digital tools, such as administrative systems, web tools, and common office productivity tools, to complete job responsibilities. Proficient in Google Suite, specifically Gmail, Google Calendar, and Google Drive is preferred. Ability to address time-sensitive needs in a professional manner. Clear, concise and professional written and verbal communication and organizational skills. Ability to gather needs from students and faculty in a collaborative fashion. Ability to collaborate collegially with dean, faculty, and administration to accomplish school and Institute goals. Provide excellent customer service to Pratt students and faculty. Must have the ability to work well with diverse populations and have a demonstrated level of cultural competence.
