Position Summary:
As a member of the Development Services team in the Development and Alumni Relations division, the Administrative Specialist will be responsible for a variety of human resources processes for the division, including, but not limited to, the preparation of job descriptions and the submission of human capital management (HCM) actions in the Rice iO system (Oracle Cloud ERP). The Administrative Specialist will report to the Senior Director of Development Administration and will work closely with the Assistant Vice President, Development and Alumni Operations, division administration, the talent management team, and hiring managers to ensure effective and efficient processes.

Minimum Requirements:
- Bachelor's Degree
- 2 years of related professional experience in an administrative or human resources position
- In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year-for-year basis may be substituted
Skills:
- Ability to establish and manage priorities and handle numerous time-sensitive projects with conflicting and varied deadlines
- Ability to accomplish goals working through formal and informal channels, with diplomacy and tact
- Demonstrated creativity, problem solving, critical analysis, initiative, judgment and decision-making skills
- Excellent planning and organizational skills
- Excellent interpersonal, verbal and written communication skills
- Strong knowledge of relevant subject matter
Preferences:
- Experience working in a central administrative office position (such as Human Resources, Payroll, Finance, etc.)
- Experience working in non-profit/higher education settings
- Experience with Oracle-based or similar ERP systems
- Strong attention to detail
- High levels of overall organization, accuracy and time management
- Goal-oriented with the ability to prioritize a heavy workload
- Willingness to take charge of assignments and follow through with minimal supervision
- Ability to work with a high level of confidentiality and take initiative to improve processes and policies
- Proficiency in Microsoft Office Suite
- Demonstrated experience in the use of human capital management (HCM) systems
- Excellent problem solving and project management skills
- Ability to manage many concurrent tasks with varying priorities with minimal oversight

Essential Functions:
- Leads the planning and implementation of a variety of human resources processes for the Development and Alumni Relations division, including, but not limited to, the preparation of job descriptions and advanced transactional support in the human capital management (HCM) function of Oracle Cloud ERP
- Organizes, manages and completes special projects
- Evaluates programs, policies and procedures
- Identifies issues and develops alternative solutions which may include changes to programs, policies and procedures
- Pulls reports, conducts audits and analyzes trends to advise and develop recommendations to achieve or modify goals
- Performs all other duties as assigned
Additional Functions
- Works closely with division staff, including division administration, the talent management team, and hiring managers to ensure effective and efficient processes and to advance projects
- Analyzes and documents existing and new policies, processes, procedures and operational methods to consider possible improvements
- Manages data input and maintains files
- Has frequent contact with division staff, including division administration, the talent management team, and hiring managers to ensure effective and efficient processes
- Open office environment
- Many hours spent in front of a computer
