Position Announcement
Utah Valley University (UVU) is seeking to hire a part-time Assistant to the Program Coordinator of the Afterschool and Summer Programs grant within the School Community University Partnership (SCUP) Department at UVU. The successful candidate will perform and/or oversee a variety of duties including fiscal, accounting, staff support, and planning activities, some of which require advanced or specialized knowledge and skills; oversees budget administration, inventory management, specialized record keeping, database management, and/or specified information-gathering tasks; coordinates and facilitates meetings, program functions, and/or special events, as appropriate; trains and oversees other staff. Other duties as assigned.
Summary of Responsibilities
• Purchasing: Submit all purchase requests for approval. Make and track purchases. Manage inventory. Reconcile all receipts with approvals and submit in Concur. Create requisitions for service.
• Budget: Track all salary and other expenditures. Break down expenses by category as required by the grant. Submit monthly Time and Effort Certification Reports. Re-allocate money in the Utah Grants system as needed and submit for approval. Compensation/position changes submitted on ePAFs.
• Students: Track attendance. Track grades and missing work. Print, distribute, and gather pre and post-assessments. Help with student handbook. Create name badges (summer UVU). Track food allergies / medical needs (summer UVU). Manage Qualtrics surveys and export gathered data.
• Reporting: Update and submit the UAN Quality Assessment Tool, School Alignment Rubric, Quarterly Feedback Reports.
• Employees: Create job postings through UVU and other sites. Assist with screening applicants, interviewing, and hiring. Submit new hire ePAFs. Obtain parking passes. Assist with planning and executing all employee training. Help with Staff Handbook. Add all new employees to Slack/Teams. Sumit termination ePAFs.
Minimum Qualifications
Graduation from an accredited institution with an associate degree or any combination of education and/or experience totaling two years.
Preferred Qualifications:
Spanish speaking preferred but not required

• Knowledge of accounting principles/bookkeeping
• Knowledge, skill, and ability with computer programs including Windows, Microsoft Suite; specifically PowerPoint, Excel, and Word; Internet, E-mail, and Social Media
• Knowledge of data tracking and database management
• Knowledge of event planning and time management
Skills:
• Skills in database management
• Skills in interpersonal, verbal, and written communication
• Skills in problem solving and decision making
• Skills in proofreading/editing program materials
• Skills in the preparation and interpretation of reports, charts, graphs, and tables
Abilities:
• Ability to coordinate and assist in the preparation and monitoring of project finance transactions

• Ability to effectively navigate database software with an understanding of how to write reports and queries using various tools, and copying data into various types of formats for further analysis
• Ability to be highly detailed in work-related issues
• Ability to work independently, prioritize, be self-directed, and complete tasks without supervision in a timely mann r
• Ability to communicate and work with a diverse population
• Ability to attend a limited number of after-hour events that are essential to the success of the program
