SUMMARY OF JOB DESCRIPTION
Under the direct supervision of the Director, Corporate Safety Admin and Training, the Administrative Specialist –Safety will provide administrative and safety support to the administration areas at NorthWestern Energy.
DESCRIPTION OF ESSENTIAL FUNCTIONS
- All NorthWestern Energy employees are required to adhere to company safety standards and the Code of Business Conduct & Ethics
- Ensure all actions are consistent with NorthWestern Energy's values, mission, and strategic business objectives
- Assist in the administration of accident notification reports and OSHA Recordkeeping. Knowledge of OSHA recordkeeping is desirable, but not required
- Assist the Safety Dept. with managing the DOT CDL drivers program. Conduct biannual driver reviews, send out packets to new hires, assist with regulatory compliance and database maintenance, and maintain qualified driver files.
- Contact and schedule of a physical and drug screens for new hires
- Admin assistance with DOT drug and alcohol testing, surveys, quarterly reviews and post collection interviews, and records retention
- Administer Prescription Safety Glass program
- TD - Business Unit Training Coordinator working with groups in entering/coordinating training in a Learning Management System,(LMS)
- Administer Safety Recognition Program – reporting, gift cards, signatures and tax responsibilities
- Administrative assistance in support of the Safety Coordinator in deployment of existing safety programs, medical testing, public safety awareness, safety committees, approaches to address safety issues
- Assist the Safety Coordinator in the following areas:
- Ergonomic issues; help with ergonomic solutions; follow up to ensure effectiveness. Ergonomics knowledge is preferred.
- In the administration of medical surveillance programs.
- In managing an effective public safety program committed to raise the awareness of the potential hazards of working or playing near electric and natural gas lines and facilities.
- Maintain knowledge of current NorthWestern Energy safety requirements and applicable government regulations as it applies to the functions of the position
- Assist the Safety Coordinator with presentations employees, the general public, regarding the potential hazards of electricity and natural gas
- Responsible for maintaining department intercompany web page including monthly incident statistics reporting, wellness information, standards, training documents, etc.
GENERAL QUALIFICATIONS
- Strong safety background/education/work experience is desired/preferred
- Experience with Ergonomic evaluations desirable
- Must be able to demonstrate a good safety record
- Must possess strong interpersonal communication skills
- Possess the ability to interact and build relationships with employees at all levels
- Have strong communication and presentation skills
- Knowledge of SAP is desirable for time administration, invoice processing, payment discrepancies
- Knowledge of contracts and service agreements to create, renew, and modify Possess above average computer and recordkeeping skills
- Have above average organizational and analytical skills
- Be a self-starter, be able to work with limited supervision, and be goal oriented
- Have the ability to lift up 35 pounds; work primarily in an indoor environment and travel up to 15% of time
- Possess a valid driver's license and clean driving record
