Avata Partners is seeking an administrative supervisor for an international firm in San Francisco, CA. This role will be reporting to the Senior Administrative Manager and will oversee day-to-day operations and coordinate Firmwide initiatives and activities. This is a full-time position that is fully onsite.
ESSENTIAL FUNCTIONS
ESSENTIAL FUNCTIONS
- Provide supervision and guidance regarding the workflow, resources and priorities in assigned functions for the CA offices;
- Oversee and perform daily administrative operations and services for local departments including Client Service Specialists, Office Services, Records, Facilities and/or Reception;
- Execute office implementations, projects, programs, and events including but not limited to moves, maintenance, security and resource management activities;
- Plan and execute office events;
- Participate in the hiring and onboarding process for administrative staff including the interview process;
- Act as administrative liaison with internal parties and external resources; Maintain vendor relationships;
- Maintain accurate administrative files, spreadsheets and databases; Generate reports and presentations;
- Update process and systems with respect to office moves, staffing changes and other office transactions; Assist with budget control maintenance;
- Assist in the coordination of orientation schedules of associates and staff and provide overall assistance to integrate associates and staff into the office and the Firm;
- Assist with related events/activities, as needed;
- Work beyond scheduled hours as required; and
- Handle additional related projects as necessary.
- Advanced proficiency in Microsoft Office Suite;
- Advanced knowledge of office administration and services procedures and best practices, preferably in a legal environment;
- Knowledge of records management, preferably in a legal environment;
- Knowledge of facilities procedures and best practices;
- Knowledge of reception procedures and best practices; and
- Fundamental knowledge of office management and procedures (preferred).
- Bachelors degree (preferred);
- At least 4 years of supervisory experience (preferred); and
- At least 6 years of experience in a legal environment (required).
