Mountain Alarm is currently hiring an Administrative Support Assistant in our Great Falls, Montana location.
Position Summary: This position is responsible for inventory management alongside various administrative tasks that are essential in the continuing of efficient operations in our Great Falls Montana branch.
Duties & Responsibilities:
- Assists where needed to support Office Manager and/or Operations Manager
- Receives, reviews, and processes purchase orders from branch
- Inputs purchasing data into the company accounting system(s)
- Troubleshoots quantity discrepancies with vendors
- Keeps accurate data for quantities of parts issued and transferred between branch, satellite offices, trucks, and inventory
- Maintain and evaluate inventory records on a quarterly basis
- Notify management of problems that could impact branch function
- Check bulk orders for accuracy and quality on arrival
- Prepare and participate in quarterly physical inventory
- Create and process purchase orders
- Maintains quality standard of accuracy on contracts as set forth by Office Manager and Corporate Customer Service Manager
- Responsible for data entry for installation, monitoring, and equipment only jobs
- Updates customer accounts in various systems
- Performs other duties as assigned
Education & Required Skills:
- High School Diploma/GED
- Previous administrative support in an office setting required
- Excellent verbal and written communication skills
- Ability to self-manage and work quickly and accurately
- Must possess strong time management skills
- Aptitude for problem-solving, ability to determine solutions for customers
- Ability to maintain and project a positive outlook to customers at all times
- Maintains a good working environment with all employees, vendors, and customers
- Must have working knowledge of Microsoft Office Suite
- Must read and speak English
