Mountain Alarm Fire and Security is currently hiring an Administrative Support Coordinator in our Ogden, Utah location.
Position Summary:
This position is responsible for inventory management alongside various administrative tasks that are essential in the continuing of efficient operations in our Northern Utah Mountain Alarm Security branch.
Duties & Responsibilities:
- Receives, reviews, and processes purchase orders from each branch
- Accurately receives and issues parts and inventory
- Inputs purchasing data into the company accounting system(s)
- Troubleshoots quantity discrepancies with vendors
- Traces all delinquent arrivals from purchase orders
- Keeps accurate data for quantities of parts issued and transferred between branch, satellite offices, trucks, and inventory
- Conduct Cycle Count Inventory and maintain strict records
- Oversee and evaluate stock rotation procedures
- Maintain adequate storage for warehouse and on-site inventory
- Maintain and evaluate inventory records on a quarterly basis
- Train branch staff and technicians in the correct inventory processes and create procedures to eliminate loss
- Create an efficient space utilization plan
- Notify management of shortages or other problems that could impact product availability
- Train branch staff and technicians on proper procedures for locating and utilizing product inventory
- Check bulk orders for accuracy and quality on arrival
- Prepare and participate in quarterly physical inventory
- Create and process POs
- Process all Agreement (paper and DocuSign) changes; including address, last name, owner, service, and takeovers
- Maintains quality standard of accuracy on contracts as set forth by Office Manager and Corporate Customer Service Manager
- Responsible for data entry for installation, monitoring, and equipment only jobs
- Adheres to Company Credit Policy and required documentation as set forth in the Credit Policy
- Acts as gatekeeper between sales staff and credit manager in job approval process
- Updates customer accounts in Sedona, ADC, and Stages as needed
- Process credit requests as needed for promotions and/or to save customer
- Process and mail out no charge items; including magnets, plank foam, batteries, and decals.
- Assists where needed to support Office Manager and/or Operations Manager
- Ability to handle a great deal of stress over long periods of time
- Performs other duties as assigned
Education & Required Skills:
- High School Diploma/GED
- Excellent verbal and written communication skills
- Ability to self-manage and work quickly and accurately
- Ability to work in a fast-paced environment and stay on task
- Must be customer service driven
- High efficiency
- Must have working knowledge of Microsoft Office Suite
- Must type proficiently and accurately
- Punctual
- Flexible style, perseverance, action oriented.
- Ability to work a full-time schedule

- U.S. Citizenship or permanent residency is required
