About the Job
Community Action seeks an Administrative Support Manager to join our Admin team. The Administrative Support Manager oversees daily operations of front office needs at the agency’s 210 O Street location, coordinates facility and maintenance needs at the 210 O Street location and the Gathering Place, provides administrative oversight of front office functions, and supervises the Administrative Specialist and other front desk personnel, Facilities Coordinator, and volunteers as applicable. This position also assures delivery of attentive and responsive support to individuals seeking services from Community Action through in-person, over-the-phone, and/or written communication while assessing needs and navigating to appropriate programs, departments, or other community resources.
Starting Pay: $26.50/hour with $1000 Training Incentive
The Role:
Assesses guest needs through active listening and responds appropriately by linking to appropriate Community Action programs, staff, and/or community resources. Identifies and communicates solutions for complex questions or guest concerns.
Educates guests about agency program and service offerings. Answers general questions relating to services, schedules appointments, and explains and connects participants to enrollment processes.
Responds to and resolves crisis situations; initiates incident reports when required.
Monitors operation of automatic doors, security system, and additional equipment in the reception area.
Enters checks/payments received daily into database and completes weekly cash deposit.
Schedules and checks out vehicles including data entry of mileage reports. Maintains Maintenance Log to enter receipts and tracks vehicle maintenance. Facilitates routine maintenance and repair of agency vehicles.
Supports use of and maintenance of copiers including toner changes and maintenance of copier program codes (ordering supplies, calling in service orders).
Manages cleaning, maintenance, and systems operation and repair for the 210 O Street office and the Gathering Place, including seasonal and annual tasks.
Coordinates completion of regular inspections of fire alarm, sprinkler, and other safety systems.
Qualifications:
High School diploma or general education degree (GED) required.
Previous experience in providing administrative support, customer service, facility management, and safety programs is desired.
Strong verbal and written proficiencies of the English language required.
Valid Nebraska Driver’s License and good driving record preferred.
Must be able to work independently, exercise good judgement and respond quickly in difficult situations.
Must be able to type at minimum 40 WPM.
Must be able to read, write, and communicate English effectively.
Must have the confidence and skills to present services to clients and the community effectively.
Must be able work independently to achieve multiple set objectives concurrently and work effectively under pressure.
