Peckham Inc. - Administrative Support Specialist

SUMMARY


The Administrative Support Specialist provides comprehensive administrative and clerical support to Peckham’s 3rd Party Logistics line of business. This role plays a key part in maintaining and organizing accurate contract information, managing documentation, coordinating and labeling outbound shipments, controlling inbound shipments, and record maintenance. The ideal candidate will have excellent communication, organizational, and attention to detail skills to support a fast-paced mission focused environment. A key function of the role will also be to provide data management through tools like Navision and perform other support functions to support 3PL.




MAIN DUTIES AND RESPONSIBILITIES include the following.



+ Maintain and organize all hard copies of contract information by specific contract or customer while maintaining confidentiality of information.


+ Upload, organize, and maintain all electronic contract records in Novatus ensuring accurate documentation.


+ Assist in compliance and regulatory maintenance by creating, updating, and maintaining ISO documents for the department.


+ Create purchase orders and maintain all required documents for all purchases made within the department.


+ Develop and maintain quarterly charts, and presentations on key metrics and update for business plan reporting to reflect strategic goals.


+ Ensure accurate and up-to-date data entry and maintenance in Navision system to support seamless 3PL operations.


+ Maintain data in Warehouse Management System (WMS).


+ Process receipts into government DD250 system upon shipment arrival to Peckham.


+ Process shipments in all systems as well as in government DD250 system.


+ Maintain PPW –- website and assist with inquiries.


+ Assist the Senior Vice President of 3PL with projects and initiatives to help improve 3PL.


+ Help address and resolve internal shipping issues and ensure thorough documentation to maintain clear traceability of the problem and solution.





OTHER DUTIES AND RESPONSIBILTIES



+ Maintain a safe and clean work environment


+ Assist in the training of people with disabilities as needed.


+ Other duties as assigned.





SUPERVISORY RESPONSIBILITIES


This position has no supervisory responsibilities.




MINIMUM QUALIFICATIONS



+ 1-3 years of experience in an administrative or support role


+ High school diploma or GED equivalent


+ Strong organizational and multitasking skills


+ Must pass state and federal background checks


+ Must have access to reliable transportation


+ Proficiency in Microsoft applications such as Word, Outlook, and Excel


+ Possess strong interpersonal skills





PREFERRED QUALIFACTIONS



+ Experience working in a supply chain or warehouse environment


+ Experience using supply chain management software


+ Strong written and verbal communication skills


+ Advanced multi-tasking, problem solving, and time management skills


+ Ability to demonstrate initiative


+ Ability to think critically and analytically


+ Comfortable with change
