As the Administrator/Bookkeeper at Nautilus Construction, you will play a critical role in ensuring the smooth operation of our office. You'll be the go-to person for managing our financial records and assisting with various administrative tasks that keep our projects on track. This role requires a blend of bookkeeping expertise and office management skills, ideal for someone who enjoys variety in their workday.
Key Responsibilities:
- Maintain and manage all aspects of our financial records using QuickBooks.
- Process accounts payable and receivable, ensuring accurate job costing.
- Prepare financial reports and assist with budget management.
- Reconcile bank statements and manage payroll processing.
- Oversee tax preparation and ensure compliance with federal and state regulations.
- Manage vendor relationships, including negotiating terms and resolving discrepancies.
- Answer incoming calls and manage correspondence.
- Maintain calendars for appointments and process coordination of lead calls.
- Order office materials
- Assist with marketing tasks, including social media management and content creation.
- Organize and maintain digital and physical files, ensuring accurate record-keeping.
- Prepare and distribute internal communications, including memos and reports.
- Work closely with the Production Manager to ensure all office functions support ongoing projects.
- Support Production team in management of vendors and subcontractors
- Be a flexible team player, willing to step in and help wherever needed, including on-site support if required.
- Facilitate communication between office staff, field teams, and external partners to ensure project alignment.
- Provide support in onboarding new employees, including managing HR records and benefits administration.
Qualifications:
- Minimum of 3 years of experience in bookkeeping, ideally within the construction industry.
- Degree in accounting, finance or relevant field
- Proficiency in QuickBooks; experience with CoConstruct or similar ERP systems is a plus.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Knowledge of tax and accounting laws
- Ability to adapt to changing priorities and work well under pressure.
- A proactive, teamwork-oriented attitude.
- Willingness to take on duties outside of the core job description when necessary.
Salary and Benefits:
