This position leads the centralized mailroom operations, ensuring efficient and accurate processing and distribution of incoming and outgoing mail
Responsibilities include supervising mailroom staff and student assistants, coordinating mail distribution, and managing mailroom equipment and supplies
The Assistant/Associate Director of Central Services oversees quality control procedures, resolves mail-related issues, and ensures compliance with college policies and postal regulations
This role also liaises with internal departments and external vendors to facilitate mail services
Essential Functions: This position is responsible for leading all Central Services operations, functions and activities
- Serve as campus postmaster
Responsible for ensuring the efficient and accurate daily processing and distribution of incoming and outgoing mail to faculty, staff, and students
- Assist customers with managing their postal needs and copy requests, such as arranging package delivery, advising on mass mailings/distributions, informing customers of options for shipping and helping them choose appropriately, etc
- Create an environment that is client-focused, proactive and responsive to client requests, needs, and issues, while being collaborative, supportive and high performing within the team itself
- Keep the campus informed of upcoming mail and copy center changes and initiatives
- Identify and ensure the use of tools that enhance the Central Services teams ability to create positive, efficient client interactions and experiences
- Hire, train, supervise and develop non-exempt staff and student assistants
- Ensure Central Services equipment is operational and ready for use for its intended purpose throughout the year, and maintain up-to-date software and technology in the department
- Provide timely documentation of detail supporting charges for postage, shipping, duplication services, supplies and paper to the Business Office
- Develop and manage an annual operating budget
Ensure and maintain professional responsibility and financial stewardship of Washington College resources
- Set clear, measurable and meaningful goals for measuring and improving faculty, student and staff satisfaction with Central Services
Develop standards, policies and procedures for the effective operation and ongoing support of Central Services
- Collaborate with the Deputy CFO to develop and execute an annual operational plan for Central Services that aligns with the College strategic plans and service expectations
## Qualifications
Education and Experience
Requires High School diploma or GED plus two years of management/supervisory experience or four years of experience in a distribution center environment
College degree preferred
Equivalent combination of experience and education may be substituted
Knowledge, Skills and Abilities
- Knowledge of postal systems, rules and regulations
- Working knowledge of computers within a general office setting desired
- Proficient with printing and duplicating systems required., especially network copier operations
- Superior customer service skills
- Ability to supervise staff, demonstrate teamwork and develop productive relationships with peers and management
- Excellent interpersonal communication and organizational skills required
- Mailpiece Design Professional certification preferred

Working Conditions/Hazards
Prolonged periods of work on computer displays, requiring close concentration and visual attention

Physical Requirements
Must be over th age of 18
Ability to lift and carry packages up to 25 pounds throughout the day
Ability to occasionally lift, carry and place up to 50 lbs preferred

This is an exempt position
The position is schedule to work Monday through Friday 8:30a.m
- 4:30p.m
Additional hours may be needed during peak service times.
