POSITION SUMMARY:
The Assistant Clinical Outpatient Administrator assists the Clinical Outpatient Administrator in the clinical and administrative oversight of all Outpatient Services.
KEY FUNCTIONS:
1. Assist with the clinical and administrative oversight of Outpatient Services.
2. Provide direct supervision of outpatient staff as assigned; this may include salaried clinicians, fee-for-service clinicians, clinical interns, or peer specialist.
3. Help ensure that Interact and its staff maintain a high level of ethical and professional standards.
4. Be a champion of evidence-based practices within the agency, working to help implement and evaluate fidelity within these treatment models.
5. Fulfill weekly billing requirements by conducting intakes and carrying a small caseload.
6. Reinforce policies and procedures to improve fiscal viability and enhance client experience and service delivery (e.g., minimize wait, promote inter-departmental integration of care, improve quality, and increase our capacity to serve more individuals).
7. Ensure program compliance with all applicable laws and regulations.
8. Identifies quality assurance and risk management issues and brings them to the attention of Clinical Outpatient Administrator.
9. Support Clinical Outpatient Administrator with managing waitlists, ensuring timely case assignments and full caseloads, monitoring staff productivity, compliance with attendance policy, and clinical effectiveness.
10. Conduct weekly review of staff documentation to ensure timely completion of progress notes and treatment plans to prevent delays with billing.
11. Assist Clinical Outpatient Administrator with ensuring evening coverage onsite.
12. Review incident reports and work with Compliance Officer and staff on corrective actions.
13. Ensure staff meet minimum weekly billable requirements. Track and manage weekly report on outpatient metrics including program census and staff billing/ productivity to ensure seamless access, quality of care and coordination of services.
14. Assist Clinical Outpatient Administrator with conducting quarterly chart audits active clients and reviewing findings with Supervisor(s) to be corrected by staff.
15. Support Clinical Outpatient Administrator as needed to ensure staff and supervisory coverage; assist with recruiting, onboarding, and training.
16. Represent the agency as a clinical ambassador with funders and community stakeholders.
17. Participate in on-site inspections to ensure that the site meets agency and licensing regulations regarding safety and cleanliness.
18. Assist with coordination of services internally/externally to ensure continuity of care.
19. Conduct oneself in a manner that promotes safety, equity, and trauma-informed practice.
20. Attend internal and external meetings as requested.
21. Other duties as assigned.
