The Assistant Controller has the responsibility of supporting the day to day financial and accounting operations of the Institute, ensures the integrity of the financial information, and serves as a backup to the Controller. This includes compliance with generally accepted accounting principles, the production of periodic financial reports, maintenance of an adequate system of accounting records, design and maintenance of a comprehensive set of internal controls, and compliance with regulatory and grant requirements.
Assistant Controller Responsibilities:- Assist with the day-to-day accounting functions of the Institute, including travel, accounts payable, and maintaining the integrity of the general ledger
- Approve purchase orders for all Subcontractor arrangements in addition to serving as backup to the Program Directors for approval of program purchase orders.
- Responsible for capital asset tracking, monitoring, and preparation of the quarterly entries and other adjustments as needed.
- Responsible for accounting related to GASB 87 - Leases, GASB 96 - Subscription Based Information Technology Arrangements, and GASB 101 - Compensated Absences.
- Responsible for research and implementation of new GASB standards applicable to the Institute.
- Responsible for hiring, supervising, directing, and training the Travel & Expense Reimbursement Specialist staff.
- Contribute to the design and implementation of the Institute's accounting systems and processes, especially improvement of the process for monthly review and reconciliation of the Institute's credit cards.
- Develop and implement accounting and compliance policies and procedures.
- Assist in researching accounting issues to improve the administrative functioning of the organization and for reporting in accordance with GAAP.
- Engage daily as a liaison both internally & externally on financial related issues for the organization. This includes troubleshooting and problem solving complex financial issues, making decisions, and relaying sensitive and/or confidential information as appropriate.
- Provide education & training to programs on compliance issues and financial management.
- Research, prepare, and analyze a variety of financial data and reports in order to provide information to management.
- Inform/update Controller and perform tasks as necessary in Controller's absence.
- In coordination with the Finance & Budget Manager, responsible for tracking and reporting the federal expenditures for preparation of the SEFA for the annual audit.
- Assist with year-end close, including preparation of all information required by the auditors for the financial statement audit and ensure the organization meets the compliance requirements of the Uniform Guidance.
- Assist Controller with tax filings, including annual Form 990 and License to Solicit. This includes providing information to tax preparer and reviewing information for completeness upon return from the preparer to ensure what is reported is accurate
- Assist Controller with completing various non-tax filings such as but not limited to LARA Annual Report, Dunn & Bradstreet submissions, Census Bureau reporting and other miscellaneous filings
Assistant Controller Requirements:
- Bachelors Degree in Accounting or Finance
- 4-10 years in relevant accountant
- Non-profit leadership experience with an organization funded by grants and contracts highly desirable.
- Maintain integrity, effective communication, and a professional leadership relationship with the Program Directors, Administrative Management Team, staff, and external partners.
- Strong financial and analytical skills.
- Ability to follow complex written regulatory & legal language and work independently in a complex environment.
- Strong organizational, planning and communication
- Must be team-oriented and self-directed.
- Must be able to lead as well as follow.
