If making an impact in the lives of grade school-aged children and their families appeals to you, the JCC MetroWest's Kids Club (after school program) and Exploration Camp (summer program) is seeking a mindful, collaborative, detail-oriented individual with excellent communication skills for the newly created full-time Assistant Director role. Reporting to the Director of the Grade School Program and Exploration Camp, the Assistant Director provides high level administrative support and customer service and administrative support, handling diverse responsibilities including financial tracking, scheduling, calendar maintenance, supply & materials ordering, communications with local elementary schools/religious schools and school boards as well as with parents and other departments and programs at JCC MetroWest. The ideal individual is expected to demonstrate a strong work ethic, initiative, foresight and follow-through, positive attitude, accountability, and the ability to understand how Kids Club and Exploration Camp relate to other programs at JCC MetroWest in order to maximize opportunities.
RESPONSIBILITIES/ESSENTIAL FUNCTIONS OF THE POSITION:
Responsibilities include a broad variety of administrative tasks, working closely with the Director, participant families, Kids Club and Exploration Camp staff, and internal and external partners to maintain efficient and effective information, processes and procedures. The Assistant Director must have strong organizational skills that reflect his/her ability to perform and prioritize multiple tasks seamlessly, with excellent attention to detail. Essential functions of the role include, but are not limited to:
- Maintain state and licensing requirements for staff and students
- Collaboratively provide daily oversight of staff schedule, ensuring that ratios are met and that there is sufficient bus staff
- Respond to emails and phone messages in a timely manner
- Ride a bus and pick up students as needed and occasionally stay in a classroom if needed
- Input and maintain participant data in databases and filing systems including Spectrum, Camp Minder and FileMaker
- Input and maintain records of staff members
- Work collaboratively with elementary schools, Hebrew schools and three board of education departments
- Opening and closing responsibilities for the department
- Purchase supplies, snack and challah for department programs
- Keep staff and JCC departments updated with a monthly email of department changes, half days, and special activities
- Provide staff support for children presenting challenges in the classroom, as needed
- Be the second JCC staff member on occasional disciplinary meetings with parents
- Complete all professional development hours and state training requirements
- Communicate effectively, consistently and systematically with team members, other departments, and internal and external partners and engage in collaborative conversations that support the department
- Collaborate to annually develop and then independently maintain a calendar for school year and summer programs, incorporating holidays, school closings, enrichment classes, summer camp, and special events (e.g., camp photos)
OTHER RESPONSIBILITIES INCLUDE:
- Develop schedules for outdoor space, indoor play spaces, special events and programs
- Ensure that rooms are reserved and set up for programs
- Occasionally submit payroll
- Submit marketing and maintenance requests as needed
- Maintain staff and bus attendance records/binders
- Takeout daily snacks for classrooms
- Help setup for Shabbat on Fridays
- Provide assistance to staff members as needed
- Other duties as assigned
- Attend Agency, Operations and Department meetings; participate in department and Agency activities

Minimum Qualifications:- May require long periods of standing or sitting
- Although largely an office position, position also requires bus rides to pick up students as needed and occasional stays in classrooms with students
- Moderate use of computer terminal screen right or left hand use, typing
- Evening / off-hours availability as needed for meetings and events
- College Degree and/or 2+ years relevant experience
- Experience and ability to adapt to new software program and systems
- Knowledge of Microsoft Word, Excel, and Outlook
