Responsibilities - Essential Functions and Skills
The Assistant Director of Institutional Advancement reports to the Senior Director of Institutional Advancement and will work closely with her and the Managers and Directors of Development, Marketing and Communications to support the operational excellence of all in-house development. They will provide concierge-level customer service communication and process with internal and external stakeholders and constituents.
Functions include, but not limited to:
- Event production: Event production and operations including planning, managing, coordinating, troubleshooting and debriefing of all advancement events. Scope to include constituent engagement, event design, vendor negotiation and management, supply management, applications of all special licenses and contracts, creation and execution of timelines, and internal and external communications.
- Database and digital platforms management including: G Suite, Microsoft, CRM, ticketing platform, online marketing, social media.
- Project management: Manage social media marketing calendar, oversee the planning, and execution of marketing strategies, campaigns, content and communications; manage internal marketing requests; manage Box Office events through third-party platforms including event scheduling, promotional material updates, distribution, organization and reporting.
- Reporting: Produce regular and ad-hoc reports to ensure effective tracking and management of donations; create customized reports for individual team members to ensure proper tracking and follow-up of donors, including event P&L, CRM data analysis and reporting, reconciliations (credit card, ticketing, gift certificates), monthly advancement dashboard and early audit, working closely the Finance Department.
- A Bachelor’s Degree or equivalent experience
- 5 or more years of experience in development and/or marketing program management.
- Advanced knowledge of G Suite, Microsoft Office, CRM management, Canva and or InDesign
- Strong attention to detail
- Embodiment of organizational values and a spirit of teamwork and optimism.
- Demonstrated ability to effectively organize and coordinate multiple priorities
- Strong problem solving abilities paired with excellent judgment
- Ability to train and answer questions from non-technical users
- Experience with online fundraising platforms
- Experience creating systems to share information between databases
- Experience with creating and customizing reports
- Strategic thinker with strong analytical skills
Important Information
- The annual salary range for this position is $65K-75K.
- This job operates in professional environments. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets. The job will require going out in the field, visiting constituents.
- This position is mostly sedentary outside of travel. This would require the ability to sit at a desk, frequent walking, bending, or standing as necessary.
- Designated days and schedule will be primarily weekdays though will also be based on the needs of the operation and business, occasionally requiring weekends, nights or early mornings.
