The Assistant Facility Administrator (AFA) is an entry-level leadership position responsible for overseeing the daily operations of UVVC clinics. The AFA plays a key role in ensuring the provision of high-quality patient care, achieving clinical and financial goals. The AFA works closely with the Facility Administrator (FA), physicians, nurses, medical assistants, sonographers and other members of the team to empower teammates to follow through on best practices and processes and is tasked with independence and autonomy. Through the direction of the Facility Administrator, the AFA will assist with financial and patient care management, safety and risk compliance, and practice equipment management. As an emerging leader, the AFA will receive training and mentorship to further develop their leadership and promotional opportunities.
- Directed by leadership of the Facility Administrator, provides leadership and guidance with direct oversight of the assigned clinic’s daily operations.
- Facilitates a successful patient journey and patient satisfaction as a top priority.
- Reviews scheduling optimization.
- Works to identify problems; presents and initiates plans for improvement.
- Ensures performance of center(s) is aligned with key indicators and the overall growth strategy.
- Works closely with the Facility Administrator to manage the overall profitability of the clinic by closely monitoring financial and operational reporting; delivering & executing performance improvement plans that solve for patient journey gaps, and overhead leakage; and identifying opportunities to improve clinical and operational quality & efficiency.
- Assists Facility Administrator in managing key operational performance metrics including volume, revenue, labor and productivity management, and direct patient care expense management.
- Collaborates with physicians, nurse practitioners, and other clinical staff to ensure clinical competencies are upheld and maintained to standards.
- Co-manages the clinic's environment to support safe, healthy, and productive cultures.
- Maintains clinic performance to align with regulatory and accreditation standards and requirements.
- Participates in clinic and corporate level QAPI activities.
- Manages risk at clinic level and participates in corporate level Risk Management activities.
- Participates and leads Emergency Management and safety drills and meetings.
- Collaborates with clinical leadership to monitor and manage key clinical performance metrics.
- Conducts regularly scheduled meetings to ensure center(s) staff is current on processes, policies, and procedures.
- Assists with workflow functions to optimize patient care.
- Performs clinic audits to ensure consistency of standards.
- Works to identify problems and works with the Facility Administrator to initiate plans for improvement.
- Maintains facilities and equipment in accordance with appropriate regulatory bodies.
- Maintains inventory and supply to meet the needs of the clinic and in line with budget.
- Works through and solves patient issues professionally and in a timely manner.
- Helps to promote a safe, healthy, and positive culture.
- Rounds clinics to ensure front office space, supplies, and equipment are maintained, consistent with UVVC standards.
- Supervises the selection and ordering of supplies for appropriate areas.
- Oversees each clinic’s daily reconciliation/end-of-day procedures are performed.
- Assists and participates in Emergency Management initiatives including safety drills and meetings.
- Validates that appointments are scheduled in accordance with UVVC requirements.
- Oversees that authorization and referral checks have been performed according to protocol to maximize clinic time.
- Identifies clinics that have access barriers and escalates to the Facility Administrator.
- May need to provide coverage for other roles within the clinic, as needed.

- Other related duties as assigned.
- 2+ years’ experience in a front desk or manager role within a healthcare clinic required.
- Strong computer skills and working knowledge of MS Office.
- Familiarity working with an EMR, preferably eClinicalWorks.
- Sharp minded, eager to learn with superior organization skills.
