Role Summary
The Hudson Yards Assistant General Manager, in conjunction with the Senior General Manager, Director of Operations, and Security Director are responsible for enhancing the shopping center by identifying center objectives, while providing excellent management and administrative support for property, security and engineering staff and fulfills all tasks described in the job description in compliance with all company policies and procedures.
Key Responsibilities
Tasks include, but are not limited to, the following:
Accounts Payable:
- Timely, accurate processing of Accounts Payable operations
- Establishes and maintains good vendor relations and accounts in cooperation with the Property Coordinator and Office Manager
- Accurately processes vendor invoices for timely payment according to RCMC operational procedures
- Maintains up-to-date vendor files on site
Accounts Receivable:
- Timely, accurate processing of Accounts Receivable operations
- Reviews tenant work order billing monthly for accuracy, timely processing of recurrent and non-recurrent charges and appropriate adjustments according to RCMC’s operational procedures
- Reviews and confirms accuracy or adjust for accuracy, all financial reports including: Delinquency reports, occupancy reports, and Tenant chargebacks
- Reviews and maintains accurate tenant arrears records and pursues collection according to RCMC’s operational procedures
General Office Administration:
- Assists General Manager in developing, updating, and implementing SOP's for various departments, as well as policies and procedures that when followed, result in the maintenance of the property in a consistently clean manner, where all building systems are observed and attended to promptly and efficiently, while minimizing any unnecessary disruption to our guests.
- Maintains current, accurate tenant data, including tenant Retail Unit (RU) inventory and tenant emergency information
- Maintains accurate, up-to-date status accounting of rental units, including occupancy status report as directed by the General Manager
- Maintains accurate, efficient files for all site administration, including: tenant files, applicant files, vendor files, operational /procedures files, work-order files, newsletter files, A/R files, etc. as directed and working with the General Manager where appropriate
- Prepares and processes appropriate written communication, i.e., memos, letters, reports, insurance incident reports and notification, etc.
- Interpret lease abstracts related to Tenant Allowance, review tenant submissions for completeness, and coordinate necessary approvals and reimbursements.
- Collaborate with the Related Energy Team to ensure tenant submeters are properly installed, functioning, and billed correctly.
- Ensure tenant compliance with city agencies, including DOB and FDNY, and confirm timely closure of permits with required sign-offs and Certificates of Occupancy.
Specific Site Administration:
- Assists General Manager in overseeing all Management Office Administrative staff, front desk, and security.
- Actively contributes and supports the Leasing Representatives in developing and implementing the Center's leasing strategy.
- Assists General Manager with the preparation of budget and reforecasts, as well as significant oversight of the operating expenses for the Center.
- Prepares and reviews financial reports on monthly, quarterly and annual basis complying with requirements in management services agreement, with copy to the General Manager.
- Assists General Manager with overall facilities management, including the inspection of facilities and equipment to determine extent of service and equipment required. Maintains relationships with Vendors to facilitate maintenance, repair, or renovation and obtains bids for additional work from outside contractors, pursuant to client. Vendor and service provider interaction daily to ensure that goods or services are being received per contracts in place.
- Available for MOD (Manager on Duty) based on schedule. Be available for weekday committee meetings or other events as well as be available to return to the property in the event of an emergency as determined by the General Manager.
- Inspects the property on a regular basis to ensure building operations are performing according to standards and procedures.
- Conduct regular inspections of the building, assessing overall cleanliness, including restrooms, tenant storefronts and back of house areas.
- Administers the site’s compliance program (where applicable) efficiently and accurately according to the program’s regulations and RCMC’s operational procedures
- Prepares and maintains the appropriate forms and certifications for the site’s regulatory program and prepares and maintains appropriate leases, lease renewals, and/or lease addenda, according to RCMC’s operational procedures and program requirements
- Administers the site’s regulatory program if applicable, in timely, efficient manner
- Prepares, processes, and maintains files of all necessary communications
- Conducts and documents the move-in/move-out inspections (and new tenant orientation) and annual inspections as necessary
- Maintains complete documentation regarding incidents reported by police and tenants, etc.
- Perform timely move-in/move-out coordination in cooperation with Property Coordinator following RCMC’s operational procedures
Tenant Relations
- Professionally represents the Company and develop strong relationships with existing and prospective tenants. Proactively respond to tenant issues, conduct formal and informal tenant meetings to promote/discuss marketing, operations and security.
- Handles all tenant complaints expeditiously, diplomatically, and professionally
- Responsible for providing high-quality, efficient, friendly and energetic service.
- Maintains work-order records and communication with Engineering on work-order status to respond to tenant inquiries regarding work-order status
- Enforces the rules and regulations of the site and appropriate regulatory programs and maintains written documentation of all significant violations and their resolutions.

Compensation:
$120,000 - $130,000 + Discretionary Bonus
Qualifications:Education and Professional Qualifications
- 3- 5 years of experience in shopping centers or equivalent retail environment
- Bachelor’s Degree from a 4-year college or university preferred
- Ability to read, analyze and interpret complex documents
- Effective writing and communication skills in public speaking
- Experience with high-level budgeting, accounting and financial analysis
- Strong interpersonal and relationship skills
- Ability to adapt to changing work environment
