About the Job
Job Overview:
This role primarily supports the marketing team by coordinating administrative functions, handling data management, and facilitating marketing processes. The specialist will manage invoicing, assist in travel logistics, prepare reports, and support event planning, while maintaining key systems like supply inventory and data integrity.
Key Responsibilities:
Administrative Support: Provide operational support to the marketing department, ensuring effective communication and task management.
Marketing Coordination: Manage marketing-related requests and distribution of information and materials.
Travel Coordination: Assist in travel and accommodation logistics for marketing leaders.
New Employee Setup: Coordinate onboarding by working with IT and HR to equip new marketing staff with tools like laptops and email access.
Data Cleanup and Validation: Perform data management tasks to maintain marketing data accuracy.
Payment Processing: Track, verify, and process invoices for marketing expenses across brands.
Report Preparation & Data Management: Prepare reports, gather materials, and assist in the creation of presentations.
Supply Inventory Management: Monitor, order, and verify marketing department supplies.
Event Planning & Coordination: Assist in planning, coordinating, and supporting marketing events and activities.
Other Duties: Support additional marketing tasks as needed.
Qualifications
- Proven experience in a marketing support or administrative role.
- Strong attention to detail and excellent organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with marketing software/tools.
- Experience tracking invoices and expenses.
- Experience building simple spreadsheets to track expenses.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks simultaneously and prioritize work effectively.
- Experience with payment processing and budget management is highly desirable.
