Salary: $70,000 - $85,000 DOE
Schedule: Monday - Friday, 8:30 AM - 5:00 PM, onsite

We are seeking a dynamic and experienced Commercial Asst. Property Manager with a strong background in retail and office space. The ideal candidate will manage the day-to-day operations of our Class A Retail Projects, including a major property in Dana Point and two smaller properties in Mission Viejo and Costa Mesa.
Key Responsibilities:
- Oversee daily operations of retail and office properties.
- Interact regularly with property owners, tenants, contractors, vendors, and other key stakeholders.
- Ensure smooth operations through effective property management practices.
- Utilize accounting procedures and financial reports for property management.
Qualifications:
- Proven experience in commercial real estate, specifically in retail and office space management.
- Strong multitasking skills to thrive in a fast-paced environment.
- Familiarity with standard property management and accounting procedures is preferred.
- Excellent communication and interpersonal skills.

Overview of Duties:
I. Office Management and Administration
- Answer telephones, take messages, dispatch work orders, and perform other tasks for smooth property operations.
- Assist in the administration of tenant leases.
- Review, understand, and enforce lease terms.
- Resolve tenant issues in a service-oriented manner to promote retention.
- Maintain proficiency in computer skills, including word processing and spreadsheets.
II. Operations
- Interact with all property vendors, including janitorial, HVAC, security, landscaping, etc., to ensure daily coverage as contracted.
- Maintain and follow up on insurance certificates for vendors and tenants.
- Keep accurate records of tenant and vendor contact information.
- Inspect buildings and properties for cleanliness and verify scheduled repairs and maintenance.
- Collaborate with senior management to address tenant complaints and issues.
- Assist with tenant move-ins and move-outs.
- Report all pertinent events and activities to the Senior Manager.
- Respond to after-hour emergency calls as needed.
- Assist with events and signage.
III. Financial
- Gather information for annual operating and capital budgets.
- Assist the accounting manager and Senior Manager in pursuing delinquencies.
- Support accounts payable processes as needed.
IV. Leasing
- Coordinate with utility companies for turn-on/off services for vacancies.
- Strong administrative experience in commercial real estate or a related field.
- California State Driver’s License.
- Self-discipline and self-motivation.
- Strong organizational and follow-up skills.
- Proficiency in computer skills, particularly in Word and Excel.
- Ability to work independently and as a team player.
- Working knowledge of accounting procedures and the budget process.
- Exceptional customer service skills.
