Assistant Property Manager (On-Site) - Medical Office Building
Job Overview
The Assistant Property Manager supports the Senior Property Manager in the day-to-day management of a medical office building, ensuring tenant satisfaction, property maintenance, and safety protocols. The role involves operational management, tenant relations, vendor management, financial oversight, and assisting in the development of property plans and budgets.
Key Responsibilities
- Operational Management: Oversee daily operations and ensure compliance with fire, life safety, and other safety programs.
- Property Maintenance: Supervise the maintenance of the property's interior and exterior, ensuring high standards are maintained.
- Tenant Relations: Respond promptly to tenant requests and implement contract programs to continually assess and address tenant needs.
- Vendor Management: Support vendor selection, negotiate service agreements, and monitor day-to-day vendor performance.
- Financial Management: Assist with the financial management of the property, including budget preparation, reporting, and maintaining financial records.
- Planning & Reporting: Contribute to the development and administration of the Property Operating Plan and Budget. Collect, analyze, and report statistical data to assess property management objectives.
- Owner Communication: Maintain ongoing communication with the Owner's Representative and Corporate Controller.
- Public Relations: Maintain a positive image of the property, company, and client, and participate in activities that enhance this image.
- Training & Development: Participate in training sessions and manage on-the-job training for subordinates. Continuously improve knowledge in areas such as tenant relations, contract administration, and property operations.
Qualifications
- Skills: Strong analytical, problem-solving, and communication skills.
- Technical Proficiency: Expertise in Microsoft Word, Excel, PowerPoint, Adobe Acrobat, Google Sheets, Smart Sheets, Payscan, and Yardi.
- Education: A college degree is preferred.
- Licensing: Must maintain a valid driver's license and vehicle insurance for work-related duties.
- Availability: Must be available via cell phone to respond promptly to emergencies and for other communications.
Additional Information
- The Assistant Property Manager is expected to be hands-on with visible property management.
- The role may involve the use of a personal vehicle for work-related tasks.
