This is not a remote position. The Assistant Property Manager (“APM”) will assist the Property Manager and Regional Property Manager with broad and in-depth general management responsibilities at their assigned apartment development(s).
The APM will work closely with an on-site and remote team consisting of administrative and maintenance personnel at levels consistent with property resources to perform administrative and supportive service tasks. The APM will be actively involved in pursuing full occupancy and timely collection of rent, thus being a responsible steward for the success of each property.
The APM will provide excellent customer service to residents thus encouraging long-term retention.
Responsibilities may include:
Administration:
Collection, posting, and deposit of rent, subsidy payments and other income in a timely manner. Rent checks must be deposited/scanned within 24 hours of receipt or the next business day.
Remain current with knowledge of all necessary and related software programs.
Assist in carrying out rent collection policy in accordance with collection policies established by sending out delinquency notices on the required day.
Occupancy:
Enter eligible applicants on the waiting list within one week or receipt. Immediately, send the necessary correspondence to applicants that are not eligible.
Maintain waiting list with qualified applicants.
Send Applications within 24 hours of receipt of request.
Prepare paperwork for move in/outs.
Send all required notices to residents for recertification.
Handle all security deposit administration.
Process move-outs, including timely security deposit returns.
Subsidy Programs
Organize and maintain unit files and ensure such organization at all times.
Send notices to residents for recertification 120 days in advance.
Assist in initial, interim, and annual re-certification to comply with current HUD guidelines.
Maintenance/Physical Plant
Assist the property manager in inspecting all units.
Assist property manager to inspect and approve readiness of turnover units and maintain records of maintenance activity.
Assist in walking all move outs and determining damage charges
Input Work orders reported as needed.
Create miscellaneous logs for recordkeeping (i.e.: turnover, improvements, etc).
Financial
Charge resident accounts accordingly for receivables due.
Process security deposit refunds/forfeits and all security deposit interest.
Connect Residents to eviction prevention programs
Resident Relations
Foster and ensure quality based and professional service to residents and clients alike.
Prepare all lease violation notices and assist managers as necessary in legal action.
Assist in enforcing rules & regulations and lease provisions.
Assist in handling resident issues.
General Responsibilities:
Answer phones, handle visitors and resident traffic.
General filing.
Other duties as assigned.
Qualifications:
1-3 years of assistant property management or administrative assistant responsibilities
Experience with LIHTC/Subsidy programs a plus
Working understanding of rental housing programs
Computer proficiency and knowledge of Microsoft Office
Experience with Entrata and AvidXChange preferred
Bi-lingual a plus
Excellent verbal and written communication skills
Ability to interact with residents and prospects in a professional manner
Ability to work periodic flexible hours is required, including some weekends
Ability to work at property locations within or near transitional neighborhoods
