As the liaison in the Office of the University Registrar for Student Athlete Academic Service and the UW Athletic Compliance team, this position is responsible for the timely and accurate certification for University NCAA Division 1 athletes related to their registration, satisfactory academic progress, and graduation to certify eligibility to practice and compete as an NCAA D-1 athlete.
This position provides oversight for the Office of the University Registrar's continuing eligibility activities and serves as the primary liaison for the University's athletic compliance and student athlete academic services advisers. Responsible for ensuring the accuracy and integrity of the continuing eligibility certification for the University's approximately 700 student athletes, which may include amending and/or creating, communicating, and implementing internal processes and procedures related to the certification process.
The incumbent must be able to understand, interpret, and monitor the often-changing degree offerings and requirements of the university, as well as the NCAA, the Big-10, and university policies and rules, in order be able to effectively communicate with staff, and the public as well as amend or created internal business processes as needed. Timely and accurate communication is integral to this position to ensure full compliance with all relevant policies and requirements. Failure to do so presents risk to the UW's reputation as an academic institution as well as impacting the UW's athletic programs.
**DUTIES AND RESPONSIBILITIES** **Management of Athletic Continuing Eligibility Certification Process: 60%**
This position serves as the sole certifying official for athletic continuing eligibility status for all student athletes at the University of Washington. Specific duties/responsibilities include:
- Primary liaison with Intercollegiate Athletics Compliance Officer and staff for Athletic Compliance Activities for Student-Athlete Academic Services and UW Athletic Compliance staff regarding all registration, petitions, grades, transcripts, and graduation issues. Works directly with ICA and other campus partners to review, discuss, identify options/solutions to resolve issues to ensure compliance and minimize risk to the UW and it's athletic and academic programs as well as impacts to the individual student athletes.
- As a member of the Office of the University Registrar's leadership team, support leadership and development plans for the team, project creation and prioritization, and workflow management throughout the quarter/year. Directly develop, document, and implement internal business policies and processes to promote organizational efficiency and business continuity.
- Work directly with the Director of Compliance, and advise University staff on student athlete academic progress and how it pertains to UW, NCAA, and Big-10 policy and rules.
- Review student athlete registration and records to determine progress toward quarterly and annual eligibility, and notify SAAS/Compliance of issues.
- Certify athletic eligibility of 600-700 athletic team members prior to competitions
- Maintain effective working relationships with athletic stakeholders such as athletic advisers, Intercollegiate Athletics, coaches, NCAA, Faculty Athletic Representative, Admissions, and Academic Advising.
- Attend NCAA & Big 10 trainings and stay current on NCAA & Big 10 regulations and policies related to athletic certification responsibilities.
- Serve as a liaison to the Degree Audit Recording System team to facilitate reporting and accurate degree certification regarding NCAA athletes.
**Guidance & Consultation: 25%**
- Directly advise staff regarding athletic continuing eligibility certification, UW diplomas, commencement, grading, scholarship status, and graduation policies and procedures.
- Maintain written policies and procedures related to Athletic Compliance monitoring and NCAA/Athletic continuing eligibility compliance and monitoring. Author and maintain training tools and resources/documents to align with these policies/procedures.
- Train Office of the University Registrar team members, as appropriate, for office procedures.
- Respond to athletic compliance and student athlete referrals from the Credentials team, Registration team, OUR team members, and university colleagues requesting exceptions for established procedures, respond to challenges, and provide resolution.
- Interpret and educate faculty and staff on Family Educational Rights and Privacy Act (FERPA).
- Other duties as assigned.
**Data and Information Management: 15%**
- Ensure NCAA Compliance Assistant data is accurate for required Academic Progress Rate (APR) and Graduation Success Rate (GSR) reporting to the NCAA.
- Request and consult on the development of reporting produced by the Office of the University Registrar Academic Data Management Team as it relates to the athletic certification process.
- Implement new reporting tools supported by OUR Data Management Team to increase efficiency in certification.
- Provide accurate certification reporting data for leadership review as needed.
**MINIMUM REQUIREMENTS**
- Bachelor's degree
- Four years' experience managing compliance or regulatory functions such as athletics certification/compliance, veteran's benefits certification, degree clearance, accounting/auditing, banking or hospital regulations, or similar type work.
**Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS**
- Ability to analyze complex issues and situations through many lenses, including an equity lens, identify alternative solutions, forecast consequences and recommend an effective course of action.
- Effective written and verbal communication skills.
**DESIRED QUALIFICATIONS**
- Prior knowledge of university policies, processes, and systems.
- Experience working in a university registrar's office.
- Experience advising students, providing student services, or managing student service programs
- Knowledge of the UW record and degree requirements.
- Knowledge of institutional rules, BIG 10 rules, and NCAA eligibility rules.
