About the Job
We are seeking an Associate Executive Assistant who provides administrative support to the office and directly support Executive Assistants. This individual will be responsible for, but not limited to, general duties including handling calls and office communications, sorting mail, supporting facilities related office requests, assisting clientele and other duties as assigned by Management Leaders and Executive Assistants. We need a dependable administrative assistant who can work autonomously while also having the ability to collaborate and manage others with ease, delegate tasks and see that they are executed thoroughly, and ensure that all daily office tasks are in order.
What You Will Do:Administrative Support:
- Manage calendars, schedule meetings, and arrange travel for executives, including flights, accommodations, and transportation.
- Prepare and organize documents, reports, and presentations.
- Maintain filing systems and ensure that all information is easily accessible.
Communication Management:
- Act as the first point of contact for internal and external communications.
- Draft and edit correspondence, memos, and emails on behalf of executives.
- Facilitate communication between departments and external stakeholders.
Meeting Coordination:
- Plan and coordinate meetings, including logistics, agenda preparation, and follow-up.
- Take meeting minutes and distribute them as necessary.
- Ensure that executives are prepared with necessary materials and information.
Travel Arrangements:
- Coordinate all aspects of travel arrangements, including itineraries, accommodations, and ground transportation.
- Prepare travel expense reports and manage reimbursement processes.
- Monitor travel changes and communicate updates to executives.
Project Assistance:
- Assist with special projects and initiatives as assigned.
- Conduct research and compile data to support decision-making.
- Track project timelines and deliverables.
Office Management:
- Oversee office supplies and equipment, ensuring availability and functionality.
- Assist in creating a positive office environment through team engagement and support.
- A completed high school diploma or GED
- Strong administrative and organization skills.
- Strong interpersonal, communication skills, and problem-solving skills.
- Has a proven drive for results, is highly tenacious and persistent in the face of obstacles to ensure strategies are implemented over the long term effectively.
- Excellent written, verbal and presentation skills (English required).
- Strong intercultural experience.
- Ability to manage multiple high priority tasks.
- Demonstrated ability to multi-task, be highly organized, detail oriented.
- Ability to work independently.
- Ability to work collaboratively with employees at all levels as well as external parties.
- Demonstrated proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel, Teams).

For California-based employment: The minimum pay for this position is $22.12/hr. The maximum pay for this position $27.88/hr. In addition to pay, the compensation package also includes eligibility for an annual bonus, as well as equity and a range of medical, dental, vision and other benefits.
