Overview
Under the general supervision of the BookOps cataloging manager for research materials, the Associate Manager supports training, cataloging, record quality control, and special projects for NYPL’s research materials. The Associate Manager will work with cataloging colleagues to ensure that records for ReCAP, HathiTrust, the Google Books Library Project, and similar collaborations conform to partner requirements and NYPL standards. Works within a highly collaborative environment to support strategic initiatives and access to the research collections. Supports the review and development of workflows to create greater efficiencies and updates documentation as needed.

The Associate Manager will work with cataloging colleagues to ensure that records for ReCAP, HathiTrust, the Google Books Library Project, and similar collaborations conform to partner requirements and NYPL standards. Works within a highly collaborative environment to support strategic initiatives and access to the research collections. Supports the review and development of workflows to create greater efficiencies and updates documentation as needed.
We are looking for someone we can count on to:
Own:
- In-depth understanding of library metadata and national cataloging standards
Teach:
- Special projects staff best practices for copy cataloging materials and the research libraries staff on proper offsite accessioning procedures
Learn:
- Basics of Python programming and how to leverage it in cataloging workflows and quality control routines
Improve:
- Efficiency in cataloging workflows and quality of bibliographic and holdings data in the NYPL Research Catalog, ReCAP, Google Books, and HathiTrust
Some expectations for this role are that within:
1 month, this person will:
- Become familiar with the range of cataloging systems, tools, and workflows utilized in the Cataloging Department
- Perform quality control checks on ReCAP accessions
3 months, this person will:
- Establish relationships with stakeholders across three research libraries and external partners, joining committees as needed
- Contribute to documentation of existing workflows for research materials
- Export NYPL metadata to Google and HathiTrust as part of the Google Books projects
6 months and beyond, this person will:
- Organize training sessions for special projects copy catalogers and research staff on proper accessioning of offsite materials
- Develop and maintain documentation for cataloging and maintenance of research materials metadata
- Learn basic Python scripting to create quality control routines for vendor-supplied metadata and ReCAP accessions
Responsibilities
- Trains cataloging and special projects staff responsible for cataloging research materials, including catalog maintenance and accessioning offsite materials
- Performs maintenance, batch imports, exports, and transformations of bibliographic metadata, including developing basic Python scripts for routine tasks and special projects
- Reviews ReCAP accessions for quality control and trains RL staff on accessioning offsite materials
- Serves as a liaison to the Library Services Platform (LSP) team in resolving issues related to data and interoperability of the ILS, the Research Catalog, and the ReCAP middleware
- Provides original and copy cataloging as needed
- Represents BookOps Cataloging on relevant NYPL and external partner committees
- Assists in reviewing, designing, and documenting standards and workflows for cataloging activities and special projects
- Keep up-to-date on developments in the related systems
- Keep current on national cataloging standards and practices
- Perform other related duties as required
Required Education, Experience & Skills
Required Education & Certifications
- ALA-accredited Master’s degree in Library and Information Studies
- Public Librarian’s professional certificate issued by the State of New York
Required Experience
- Experience in cataloging using OCLC Connexion for both copy and original bibliographic record creation
- Experience using an integrated library system (ILS) to import, create, and modify bibliographic records
- Minimum of five years of progressively responsible experience in a research library or similar institution preferred
Required Skills
- Working knowledge of cataloging standards and practices, including MARC format, ISBD, RDA, and AACR2.
- Demonstrated ability to work independently to meet planned goals and deadlines
- Demonstrated experience effectively training staff
- Successfully demonstrated ability to work effectively and collaboratively with staff across departments
- Excellent analytical and problem-solving skills
- Familiarity with Python, version control, SQL, and relational databases preferred
- Ability to adapt to rapid organizational and technological change
- Facility with Microsoft Office suite and Google Apps
- Strong interpersonal, oral, and written communication skills
- Preferred reading knowledge of one or more languages other than English

- Communicates to staff and ensures compliance with cataloging standards, library policies, and procedures
