Job Summary:
Directly supervises administrative and clinical functions for primary care and specialty practices at the Ottauquechee Health Center. Oversees and coordinates activities related to building operations. Responsible for administrative and business functions of the practice in conjunction with the manger of the Mt. Ascutney Provider Practices and Medical Director.
ESSENTIAL FUNCTIONS– CRITERIA III:
A. Oversees and provides general supervision for the day-to-day flow and coordination of clinic functions associated with the phones, reception, checkout, and nursing coverage as needed to meet needs of patients and providers.
B. Troubleshoots any problems with interactions with patients or others within the hospital. C. Fills in as needed or arranges for replacement of secretarial staff.
D. Ensures that messages and prescriptions have been appropriately addressed, in a timely manner.
E. Participates in multidisciplinary and multidepartment teams evaluate and improve clinical and administrative workflows.
F. Monitors the referral process and follows up to ensure that referrals are being handled in a timely manner.
G. Manages changes and/or creation of provider schedules for patient appointments, including outside consultants and residents and oversees the process of communicating these schedules to their home offices.
H. Train and supervise secretarial staff in scheduling, registration systems and other systems as needed.
I. Monitors secretarial and clinical support staff performance including preparation of performance evaluations. Works closely with Medical Director, Practice Manager in performance monitoring and management.
J. Utilizes MAHHC policies and procedures, including Just Culture, as appropriate in performance management.
K. Organizes and tracks when residents and/or medical students are here and with whom they are working. Oversees the process of blocking receptor’s schedule as appropriate.
L. Oversees the recall and patient appointment reminder processes for patients.
M. With minimal supervision, handles special projects as assigned by the Practice Manager.
N. Responsible for clinic administrative tasks such as review of departmental mail, review and approval of bills, supply purchasing and other general administrative matters.
O. Serves as backup to practice manager in his/her absence during vacations, holidays, etc.
P. Administers bi-weekly payroll.
Q. Acts as liaison and point of contact for requirements of the Ottauquechee Health Center ensuring that physical plant needs are met through coordination with landlord, MAHHC departments and other parties as needed.
R. Performs other work-related duties as assigned.
