JOB SUMMARY:
We are seeking an energetic, self-motivated Associate Project Manager to join our markets team providing services in healthcare facility activation and relocation. Candidate should be familiar with the process of facility activation and relocation project management, be capable of working on site autonomously and within a team and comfortable supporting multiple projects simultaneously. The APM assists the project manager/project lead with the planning and move process, customer satisfaction, communication, as well as transparency and reconciliation of costs associated with all project activities. You will be focused on the client experience by providing innovative solutions to conflicting priorities. Responsibilities of this role include but are not limited to, coordination and execution of small and large facility activation projects.
Responsibilities:
- Assist with development of move plans including space assignments, occupancy plans, cabling/electrical requirements, IT requirements and minor construction requirements.
- Assist project manager/lead with development of move schedules for combined efforts that include construction milestones, furniture coordination and installation, and the relocation of personnel to different locations.
- Responsible for complete document management including project management software, project reporting, project file structure, meeting minutes, move matrices and equipment inventory logs.
- Assist with site audits to verify that employee locations, furniture layout and room configurations are correctly noted on floor plans, verify site as-built drawings are up to date when required, including architectural, furniture, space and occupancy data, may require updating of facilities plans on Bluebeam.
- Assist with documentation and relocation of medical equipment and supplies.
- Assist with development of RFQ/RFPs, scope development, selection processes and contracts for required vendors.
- Maintain updated project cost and budget tracking logs
- Maintain programming information related to space requirements, adjacencies, or move requirements within the Client’s allocation of space. Coordinate and communicate with all team members regarding plans for long and short term growth, consolidation, and other space requirements if plans impact current space allocation and/or business adjacencies.
- Manage client approval process - Develop move scope of work, concept plans, cost estimates and schedules to facilitate approvals to proceed with projects.
- Coordinate with client, furniture/equipment vendors and furniture/equipment management teams to determine requirements for installation (space, power, water, etc.)
- Prioritize requests to take ownership of assigned tasks and meet all deadlines.
- Manage the complete close out and documentation process for assigned projects.
- Work with accounting team to ensure invoicing and payment is accurate and timely.
- Managing expenses on monthly basis.
- Assist project manager/project lead with on-site supervision during moves and facility activations.
- Manage technology & prioritize requests for post-move issues log.
Desired Skills & Experience for this job:
EDUCATION/TRAINING
- Degree in Facilities Management, Construction Management or equivalent experience desired.
YEARS OF RELEVANT EXPERIENCE
- Minimum of 2 - 5 years professional experience in the combined areas of healthcare facilities planning, facility activation and/or move management and project management.
SKILLS & JOB COMPETENCIES
- Highly organized & detailed-oriented with the ability to prioritize and manage differing needs of the business.
- Excellent verbal and written communication skills with the ability to communicate professionally at all times with internal and external stakeholders.
- Ability to serve multiple clients at any given time.
- Ability to read and interpret construction plans and specifications.
- Strong interpersonal skills and the ability to interact with internal & external clients.
- Understanding of move requirements, reconfiguration processes, facility activation and furniture inventory management.
- Proficiency with Microsoft Excel, Word and Power Point
- Proficiency with Bluebeam or Adobe Acrobat
- Basic skills with Microsoft Project
OTHER ABILITIES
- Ability to excel working within a team structure and support the objectives of the project manager and project lead.
- Assumes responsibility for tasks of moderate complexity and continues to aggressively improve skill base.
PHYSICAL WORK REQUIRMENTS & WORK CONDITIONS
- Position requires on site supervision of moves/ facility activation and work outside normal business hours (nights/weekends) to accommodate client needs.
- Position requires employee to visit active job sites with client and contractor interaction.
- Daily interpersonal interaction is required in order to perform the job.
