Job Title: AVL (Approved Vendor Listing) Administrator
Basic Function:
The AVL Administrator provides administrative office support to the Risk and Accounting departments, primarily focusing on managing vendor insurance compliance and facilitating changes to company insurance policies.
Qualifications:
- Experience:
- Minimum of 2 years of administrative support experience.
- Skills and Abilities:
- Education/Experience: Oracle experience and/or an Associate’s degree in business administration or a related field is preferred.
- Software Skills: Advanced proficiency in MS Office applications (Word, Excel, PowerPoint, etc.).
- Communication: Excellent written and oral communication skills.
- Attention to Detail: Strong attention to detail and ability to multitask in a fast-paced environment.
- Problem-Solving: Ability to investigate, analyze information, and draw meaningful conclusions.
- Time Management: Strong organizational and time-management skills.
- Document Management: Ability to research, upload, and work within document storage systems.
- Insurance Knowledge: Experience in screening insurance certificates, vetting vendors for approval, processing insurance claims, and familiarity with casualty, liability, and workers' compensation insurance procedures.
- USL&H Knowledge: Understanding of the USL&H Act and experience communicating with claimants and adjusters is preferred.
- Confidentiality: Ability to maintain confidentiality regarding injured employee communications and proprietary company information.
Essential Duties and Job Functions:
- Vendor Compliance: Manage the company's Approved Vendor List (AVL) process, ensuring vendor insurance certificates comply with company requirements, and maintain vendor files, including Master Service Agreements (MSAs) and compliance certificates.
- Risk Management: Assist in implementing programs and policies for risk management, including loss prevention and reduction, retention, and transfer.
- Report Preparation: Prepare operational and risk reports for management analysis.
- Communication: Effectively communicate with employees at all levels, from hourly employees to the CEO.
- Claims Management: Manage all aspects of insurance claims, including investigation, preparation, reporting, reconciliation, and follow-up with brokers and underwriters.
- Policy Management: Prepare and maintain schedules for policy renewals, prepare policy renewal applications, and handle premium reconciliation.
