Job Description
The Back Office MA Supervisor provides oversight and coordination of all aspects of clinical care among Back Office Medical Assistants. Provides ongoing monitoring and accountability of Back Office Medical Assistants performance. Ensures that the Service Model standards and care quality levels are consistently being followed. Upholds our Core Values and Employee Handbook. Assists in recruitment and retention of qualified personnel. Performs Back Office Medical Assistant duties as needed.
Essential Skills and Functions
Administrative
• Monitor the Service Models, Core Values, and Employee Handbook to support all aspects and responsibility of Back Office Medical Assistants.
• Assist with yearly performance reviews and quarterly check-ins in conjunction with Site Director.
Supervisory
• Supervise the Medical Assistants' conduct, including attendance according to the Employee Handbook.
• Prepare staff timesheets prior to payroll cycle to include addition of PTO and monitoring overtime.
• Ensure the Service Model standards are consistently followed and, when necessary, provide re-education.
• Perform periodic assessment of Back Office medical Assistants' ability to follow the Service Model when performing point of care lab tests, procedures, and clinical protocols within the office setting.
• Manage the medical supplies and vaccine inventory, including regular reporting to management.
Clinical
• Knowledge of Service Model practices and demonstrated ability to manage adherence within the clinic setting.
• Identify opportunities to continuously enhance the efficiency and improvement of patient care in the clinic setting.
• Provide coverage for Back Office Medical Assistants when needed.
• Oversee and manage MA desktops.
Training
• Assist with development and delivery of clinical education to staff.
• Coordinate and/or deliver training for all new Back Office Medical Assistants.
• Ensure the Service Model standards are consistently followed and, when necessary, provide re-education.
Compliance
• Acting OSHA officer for their assigned clinic
• Knowledge of OSHA rules in a clinic setting. Enforce all applicable OSHA rules.
• Coordination of new employee OSHA training.
• Monitor record keeping of employee OSHA folders for their clinic location.
• Knowledge of HIPAA rules in a clinic setting. Enforce all applicable HIPAA rules
• Follows all clinical safety protocols and infection control procedures
Teamwork
• Ability to work effectively with other team members including:
o Front Office Supervisor
o Providers
o Front Office Staff
o Outside Business Partners (McKesson, Sanofi, Thrive, etc.)
• Communicate effectively with team members, patients and patient family members
Qualifications
• Superior customer service and communication skills, both verbal and written
• Current LVN certification.
• Highly motivated and organized
• Ability to manage in a fluid environment
• Experience with basic desktop software, medical practice management, and electronic medical record systems.
• High attention to detail
• Knowledge of and adherence to HIPAA and OSHA rules and regulations
• Skilled in identifying problems, researching and recommending solutions
• High degree of initiative, judgment, discretion and decision-making
• Knowledge of and adherence to Bloodborne Pathogen & OSHA Safety procedures
Work Environment
• Risk of exposure to hazardous conditions and blood borne pathogens
• Operation of various office equipment: fax machine, telephone, voice mail system, computer, e-mail system, cell phone, and copier
• May be required to sit or stand for long periods of time
• Light lifting - up to 20 lbs, reaching, bending
