Essential Duties & Responsibilities
This list of duties and responsibilities include but are not limited to:
Benefits Administration
- Administer benefit programs including life, health, dental and disability insurances, pension plans, vacation, sick leave, paid time off, leave of absence, COBRA, and employee assistance
- Manage benefit enrollments and terminations, claims resolution, change reporting, approving invoices for payment, annual re-evaluation of policies for cost effectiveness
- Communicate and coordinate annual open enrollment
- Conduct employee annual benefit meetings
- Confirm weekly and monthly financial tie-outs of union and non-union benefits
- Prepare plan communications to participants to ensure regulatory compliance and understanding
- Prepare payroll system for upcoming year by determining new benefit limits, such as H.S.A, 401k, etc.
- Ensure payroll and benefit changes have been entered into payroll system, including updates to pension, fringe benefits & paid time off pay out
- Train in as a backup payroll administrator
- Consults with retirement plan to investigate and resolve issues and recommend process improvements
- Coordinate administration of leave of absences such as paid time off, Short Term Disability, FMLA, COBRA and other leave of absence programs
- Meet with employees regarding FLMA requests to ensure a thorough understanding of leave of absence policies and procedures.
- Process and send required FMLA letters including approving/denying the leave of absence request.
- Maintain and review leave of absence/FLMA reports and communicate leave status and expected return to work to supervisor
- Lead reasonable accommodation requests process by going through the interactive process per the ADA and maintain accurate logs of accommodations
- Maintains employee and medical files according to company, local, state and federal policies and regulations to include a system to ensure file security and confidentiality
- Handles day-to-day routine employee time off, leave, and benefits questions
- Coordinates filing of unemployment claims to include responding to unemployment inquiries
- Coordinate with outside auditors to verify audit reports and perform the annual plan audit of Retirement and Savings Plan records
- Fulfill all reporting requirements of all relevant government rules and regulations, including the Employee Retirement Income Security Act (ERISA)
- Maintain accurate and up to date process documentation
- Maintains confidentiality of all payroll, medical, benefit and personnel-related information, policies, and related matters
- Maintain a strong working knowledge of federal and state employment laws and other agency rules and regulations pertaining to area(s) of responsibility.
- Maintain all personnel, insurance, medical, I-9, drug, and termination files, assuring confidentiality and compliance with company policies and multiple bargaining agreements.
- File EEO-1/VETS reports to the federal government and fulfil Affordable Care Act reporting requirements
- Protects the interests of employees and the company in accordance with company Human Resources policies, employee procedures and governmental laws and regulations
- Other duties as assigned
Requirements
- Bachelor’s Degree or equivalent experience
- PHR or SHRM-CP preferred
- 5 years experience in Human Resources
- 2 years experience in a benefits or leave management role
- Ability to work well with others in a collaborative environment
- Strong communication and customer service skills
- Analytical focus and self motivation to document process and improvements
- Personal Attributes: Attention to Detail, Problem Solving, Process Driven, Efficiency, Learning Orientation, and Customer Service
- Proficient in Microsoft Office Suite
