POSITION SUMMARY:
The Benefits and Leave Coordinator role at Ocean State Job Lot (“OSJL” and “Company”) is responsible for administering associate leave of absence requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (“FMLA”), the Americans with Disabilities Act (“ADA”), state-specific Family Medical Paid Leave, other state and local leave laws, and short-term or long-term disability plans. This role works closely with Legal and Risk Management teams to ensure seamless and compliant leave management. The Benefits and Leave Coordinator provides optimum customer service to associates at all levels, property executes all vendor relationships and contracts, and ensures issues are elevated and resolved.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Maintain knowledge of all applicable leave of absence and accommodation laws and regulations including federal FMLA, ADA, state, and local laws
- Advise associates and leaders at all levels of the company on the intersection of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits
- Communicate with associates regarding their needs for leave and/or modified work schedules. Ensure that associates are aware of their responsibilities and of any documentation and notice required to qualify for and to take a leave of absence
- Administer the return-to-work process for associates returning from extended FMLA, workers compensation or other leaves
- Facilitate other leave requests, which may include accommodation requests under the ADA and Personal leaves of absence in accordance with company policies and procedures
- Coordinate, conduct and document interactive process discussions between associates and treating physicians to determine the most appropriate course of action in terms of necessary restrictions and leave accommodations to ensure compliance with all ADA applicable regulations and procedures
- Monitor leave dates as communicated by the third party administrator, as well as leave denials, to ensure associate compliance
- Draft, distribute and track the return of all leave related communications, including, but not limited to, accommodation letters, disclosure forms and physical impairment evaluations in order to determine what, if any, accommodations are required. Also handle all termination warnings for associates who demonstrate a failure to interact properly under company communications, policies and procedures
- Monitor benefit enrollments for associates on leaves of absence and track benefit termination dates as outlined in company policies
- Draft and/or recommend revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations
- Maintain complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices
- Preserve confidentiality of associate medical documentation and files
- Work as a Benefits team member to support open enrollment, family status changes, and related Benefits departments functions
- EDUCATION AND EXPERIENCE REQUIREMENTS:
- Associate’s degree in business administration, human resources, or a discipline demonstrating analytical and research capabilities is required. Bachelor’s degree is preferred.
- Experience with both in house and outsourced leave administration is preferred.
- Certified Leave Management Specialist (CLMS) is preferred.
- SHRM or HCI Human Resources professional designations are preferred.
- Proficient in Microsoft Office and Google platform (i.e. Sites, Slides, Drive, Docs, Sheets).

WORK ENVIRONMENT:
- Works primarily in a climate controlled environment with minimal safety and health hazard
potential. - Works in an office environment remaining stationary at a desk, table, or computer workstation for extended periods of time. Frequently uses near vision for reading and computer tasks.

This is a temporary position. The salary range for this position is between $21.00 - 24.00 per hour. Salary commensurates with experience.
