Our company is seeking a dynamic Permanent Bilingual Administrative Assistant with proficiency in QuickBooks. This role is designed for a highly organized individual who is passionate about providing exceptional administrative support. The ideal candidate will be a seasoned professional with a minimum of 3 years of experience as an office administrator. This is a fantastic opportunity to work in a fast-paced, diverse environment where you can utilize your bilingual skills and QuickBooks expertise.
Responsibilities:
1. Provide comprehensive administrative support to the team, including scheduling meetings, organizing files, and managing correspondence.
2. Utilize QuickBooks for various financial tasks such as invoicing, reporting, and budget tracking.
3. Communicate effectively with a diverse range of stakeholders, including clients, vendors, and team members, in multiple languages.
4. Assist in the preparation of regularly scheduled reports.
5. Develop and maintain a filing system to ensure all documents are easily accessible.
6. Update and maintain office policies and procedures.
7. Order office supplies and research new deals and suppliers.
8. Handle sensitive information in a confidential manner.
9. Coordinate office procedures to ensure efficiency in all business operations.
Qualifications:
1. Minimum of 3 years of experience as an office administrator.
2. Proficiency in QuickBooks is a must.
3. Bilingual (English and Spanish)
4. Exceptional organizational skills and attention to detail.
5. Strong verbal and written communication skills.
6. Ability to prioritize tasks and handle multiple projects simultaneously.
7. Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
8. Excellent problem-solving skills and the ability to work independently.
9. High school diploma required; additional qualifications in Office Administration are a plus.
