Position Summary:
The Billing Specialist is responsible for managing invoicing through various client-specific web portals, ensuring data accuracy and adherence to both company and client specifications. This role requires a detail-oriented individual with a strong investigative mindset who can effectively communicate issues, resolve discrepancies, and exhaust resources to address billing challenges. The position involves collaboration with internal teams, customers, and portal administrators to ensure smooth billing operations.
Key Responsibilities:
- Billing Management:
- Process and submit invoices through multiple client web portals, adapting submissions to fit customer specifications and requirements.
- Review and correct any errors on invoices to maintain accuracy and compliance with billing standards.
- Customer & Sales Support:
- Respond to client inquiries related to billing, providing prompt and clear communication.
- Collaborate with Sales teams, customers, and third-party portal administrators to identify and resolve billing issues.
- Conduct detailed fact-finding investigations to address discrepancies and ensure accurate billing information.
- Reporting:
- Prepare and present weekly billing reports to management, providing insights into billing accuracy and process efficiency.
- Track and analyze key performance indicators (KPIs) related to billing accuracy, collections, and accounts receivable performance.
- Education & Experience:
- High school diploma required; Associate’s degree in Accounting or a related field strongly preferred.
- Background in Accounts Receivable, billing, and cash applications is required.
- Skills & Systems:
- Proficiency in Microsoft Office (Excel, Word, and Outlook) is essential; experience with Adobe Acrobat is a plus.
- Knowledge of ERP systems like Prophet 21 or similar, and experience with collections software.
- Familiarity with web invoicing systems such as Ariba, Coupa, OB10, or Paymode is highly preferred.
This role is onsite during the initial assignment period, with the potential for a hybrid work schedule after conversion.

The individual may also be eligible for discretionary bonuses.
