Overview of the Position:Position Overview: The Part-Time Billing Analyst/Billing Specialist will play a crucial role in our finance department, primarily focusing on invoicing for various government clients. The ideal candidate will possess strong attention to detail, exceptional organizational skills, and a deep understanding of billing processes within the federal contracting domain. This position is part-time, offering flexibility and the opportunity to contribute to our team on a schedule that aligns with the candidate's availability.
Essential Duties and Responsibilities:
Key Responsibilities:
- Generate accurate and timely invoices for multiple contract projects with varying government clients, ensuring compliance with contract terms, regulations, and billing guidelines.
- Review and analyze contract agreements, bill codes, cost variables and other documentation to understand billing requirements and billing cycles for each project.
- Collaborate with project managers, contracts, and other stakeholders to resolve billing discrepancies, address client inquiries, and ensure the accuracy of billing data.
- Maintain detailed records of billing activities, including invoice tracking, payment status, and client communications, using designated accounting software and tools.
- Monitor and reconcile billing reports to identify discrepancies, errors, or potential issues, and take corrective actions as necessary to maintain billing accuracy.
- Assist in the preparation of financial reports, billing summaries, and analysis of billing trends or patterns to support decision-making and financial planning processes.
- Stay informed about changes in government regulations, contract requirements, and billing practices within the federal contracting industry, and implement updates or modifications to billing processes as needed.
- Contribute to process improvements, automation initiatives, and other projects aimed at enhancing efficiency, accuracy, and effectiveness in the billing function.
Qualifications:
- Bachelor's degree in accounting, finance, business administration, or a related field preferred.
- Prior experience (minimum of 3 years) in billing, invoicing, or financial analysis, preferably within a federal contracting firm or similar industry.
- Familiarity with government contract billing processes, regulations (e.g., FAR, DFAR), and compliance requirements.
- Proficiency in Deltek Costpoint 8, with experience generating invoices directly from the system, as well as Microsoft Office Suite (particularly Excel) for data analysis, reporting, and documentation.
- Strong analytical skills with a keen eye for detail and the ability to identify and resolve billing discrepancies effectively.
- Excellent communication skills, both verbal and written, with the ability to collaborate effectively with cross-functional teams and communicate complex billing concepts to non-finance stakeholders.
- Ability to prioritize tasks, manage multiple deadlines, and work independently with minimal supervision.
