General Summary:
Responsible for providing support to the Board and Director of Board Support. Under limited supervision, administrative and clerical services are provided to the DART Board of Directors and subcommittees.
Essential Duties and Responsibilities:
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Records transcribes, and edits Committee and Board meeting minutes, planners, calendars, etc.
- Provide administrative support for Board travel arrangements.
- Ensure the board is regularly informed of relevant local and national transit-oriented events.
- Provides administrative support, including coordinating departmental staff efforts, ensuring minimal overlap, following up on work, preparing and proofing Agendas, Agenda Planner, Resolutions and Rollovers for Board Packets, etc.
- Prepares, interprets, and disseminates information concerning departmental programs, policies, and procedures; prepares, edits, and distributes correspondence, reports, studies, forms, and documents.
- Maintains calendars of activities, Board attendance, meetings, and various events andcoordinates activities within DART, the public, and outside agencies.
- Screens office and telephone callers; responds to complaints and requests for information on regulations, procedures, systems, and precedents relating to assigned responsibilities; receives and distributes incoming mail.
- Responds to Open Records Requests, Files, and Archives department records per agency record retention policy.
- Serves as a technical resource to Board Support. Coordinate with the Technology Department to facilitate the introduction of new technology and relay information to the Board and OBS Staff. Offer training to OBS staff and Board Members for new equipment and software. Perform troubleshooting when issues arise for both Board Members and OBS Staff. Makes recommendations for upgrades of software and hardware.
- New Agenda Coordinators will be trained in the proper process, and existing Agenda Coordinators will be provided with refresher training and troubleshooting issues that arise within the Agenda Workflow.
- Work with the Records Management Officer (RMO) in attending trainings relating to Records Management, training new Records Management Liaisons,
- Serves as backup to Board Support Specialist and Board/Committee Secretary during the absence.
- Performs other related duties as assigned.
MINIMUM KNOWLEDGE SKILLS AND ABILITIES REQUIRED:
Note: An equivalent combination of related education and experience may be substituted for the below stated minimums, excluding High School Diploma, GED, Licenses, or Certifications.
- Associate degree from an accredited college or university in Business Administration, Public Administration, or related field.
- Two (2) years of general office management experience.
- Pass a physical (medical) examination that includes a drug screen to operate DART non-revenue vehicles.
- Proficiency in PC software applications including Microsoft Office, word processing, spreadsheets, databases, andtypical office equipment such as scanning equipment, copiers, calculators, typewriters, facsimiles, etc.
- Analytical and creative skills to solve complex interpersonal, technical, and administrative problems.
- Ability to be dedicated to meeting the expectations and requirements of internal and external customers. Gets first-hand customer information and uses it for improvements in products and services. Acts with customers in mind. Establishes and maintains effective relationships with customers and gains their trust and respect.
- Ability to make good decisions (without considering how much time it takes) based upon a mixture of analysis, wisdom, experience, and judgment). Most of their solutions and suggestions are correct and accurate when judged over time and sought out by others for advice and solutions.

WORKING CONDITIONS:
Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
