POSITION SUMMARY:
Responsible for coordinating activities to improve patients' access to breast imaging services. Includes but is not limited to providing customer service, patient registration, insurance/coverage verification, appointment scheduling, coordinating interpreter services, escorting patients, requesting images and a variety of administrative duties in support of department (such as, data entering, faxing, handling forms, handling phones, photocopying, filing, etc).

ESSENTIAL RESPONSIBILITIES / DUTIES:
Performs a variety of administrative duties in support of department (s):
- Answers telephone, greets visitors and patients, and responds to general inquiries by relating or referring to established scripts, policies and procedures. Handles phone calls and all requests for services professionally, courteously and appropriately.
- Maintains the MRS waiting for findings list for BMC Breast Imaging and off-site Mammography clinics. Alerts manager when studies are not approved timely.
- Prints and mails daily mammography result letters to patients.
- Prepares and presents to manager statistical reports out of MRS as needed/required.
- Prepares films, reports, etc for weekly breast conferences as needed.
- Maintains records and files, as needed. Prepares reports as needed.
- Maintains outside correspondence and films from referring institutions. Returns films when appointments, procedures, etc are completed. Obtains outside films and reports when needed. Coordinates with the film library, patients, clinicians, and other health care providers to ensure all prior patient films, including prior, outside studies are available for radiologist interpretation, prior to the date of the scheduled appointment.
- Assists technologists with incoming calls and answers questions as appropriate.
Performs a variety of scheduling duties in support of the department (s):
- Performs scheduling functions for the Breast Imaging Department. Services including mammography, breast ultrasound, all breast imaging interventions, and Breast MRI. Coordinate interpreter services as needed.
- Ensures that women in need of further Breast Imaging services access those services in a timely manner.
- Plans the daily schedule of interventional procedures ahead of time, in accordance with Radiology scheduling policy and procedures; Follows managerial direction to maximize utilization of the assigned modality to prevent scheduling conflicts and meet the needs of the in-patients, out-patients, Emergency patients, referring clinicians and Operating Room.
- Reviews the Radiology Request forms for the upcoming days to ensure every scheduled appointment has the appropriate request, complete with clinical information, patient demographics and clinician signatures to ensure data accuracy. Provides the necessary paperwork to the designated radiologist, two or more days in advance of the appointment, for protocol preparation.
- Confirms interventions/procedures date/time with patient and is provides information to patients regarding exam preparations.
- Fax all BI-RADS 4 and 5 reports to physician office daily. Maintain record of report delivery for one year
- Create and maintain the BI-RADS 0 database in the Mammography Reporting System. Completes the follow up with patient by calling them directly to schedule appointment. This includes but is not limited to scheduling the patient for additional views, reviewing patient history and ensuring that the order matches the report. Periodically update the database to confirm and document patient return visit. Complete follow up letter to physician when patient does not return after notification.
- Contacts patients that failed to arrive for their screening mammograms and alert them that they have missed their scheduled appointment and ask if they would like to reschedule. Reschedule the appointment.
- Assists department with emergency re-scheduling due to equipment down time or other events.
Performs a variety of registration duties in support of the department (s):
- Is proficient in the registration process in order to schedule new patients into the hospital information system.
- Obtains and enters out-patient demographic information and procedure data, including patient diagnosis and reason for test as well as the appropriate exam and BI-RADS codes into the Radiology Information System and hospital computer systems. Disseminates patient information and Radiology request forms to appropriate departments and patient care areas.
Performs a variety of patient advocacy and clinical support of the department (s):
- Is proficient in the Breast Imaging exam/procedure protocol script. Ensures that exams requested match patient condition and/or history. May be required to review previous patient studies/reports to accurately schedule the patient for the proper exam. Calls the referring clinician/office or asks proper persons for more information as necessary to schedule the proper study.
- Acts as a liaison with the Breast Health Program.
- Acts as a resource for patients with questions regarding their exams.
- Responds to patient's and/or patient's family's complaints in an appropriate and effective manner. Reports complaints to the supervisor or their designee. Utilizes chain of command appropriately to resolve patient, operational or personal work related problems.
Performs other general duties in support of the department (s):
- Maintains patient confidentiality at all times.
- Maintains work area and equipment in a neat and orderly manner.
- Maintains professional appearance at all times.
- Assists in the cleaning and organizing of the department on own initiative and report any malfunctioning equipment to the supervisor.
- Treats patients and fellow staff with dignity and respect and reports any/all problems to supervisor.
- Reports errors promptly and takes appropriate follow up action to rectify error.
- Demonstrates a positive attitude every day by focusing on the job.
- Utilizes hospital's behavioral standards as the basis for decision making and to support the hospital's mission and goals.
- Ensures HIPAA compliance at all times and understands that all patient information is accessed on a need to know basis. Ensures that patients are not subjected to departmental or private conversations and/or any inappropriate behavior.
- Follows all departmental and medical center policies and procedures.
- Understands and models Boston Medical Center's behavioral standards and VSSC goals.
- Follows established hospital infection control and safety procedures.
- Performs other duties as assigned or as necessary.
Metric/Service Requirements:
Candidate required to meet standard service requirements including but not limited to:
- 80% of calls must be answered within 30 seconds.
- Call abandonment rate must be below 5%.
- E-referral and fax requests will be scheduled within same business day.
- Phone scripts provided by management are utilized when answering and ending calls.
EDUCATION:
- Work requires successful completion of a Medical Assistant program or an Associates degree which includes medical terminology training/education, or equivalent combination of education and work experience.
EXPERIENCE:
- Requires at least two years of previous work experience involving people interaction/customer service.
- Previous experience with direct patient interactions preferred.
KNOWLEDGE AND SKILLS:
- Ability to read and write in English in order to obtain, update and exchange factual information Intermediate to advanced computer skills.
- Effective interpersonal and communications skills in order to provide information, reassurance and support to patients in somewhat difficult situations.
- Requires the ability to maintain working relationships with physicians and staff at all times.
- Ability to pay close attention to details.
- Strong time management, and organizational skills required.
- Ability to maintain patient confidentiality.
