Responsibilities:
We are seeking a highly organized, proactive, and detail-oriented Business Development Administrator to join our growing team. In this key position, you will provide essential administrative support to our Business Development and Marketing teams, enhancing their ability to secure new business and manage existing client relationships effectively. Your role will be crucial in ensuring smooth operations, effective communication, and the successful execution of our business development initiatives.
Key Responsibilities:
- Proposal Management: Lead the coordination and preparation of detailed proposals, ensuring compliance with solicitation documents, optimizing content for clarity and impact, and managing submission deadlines. Oversee the entire lifecycle from pre-proposal planning to final delivery.
- CRM and Data Integrity: Act as the primary custodian of the CRM system (Deltek), ensuring all data is accurate and up-to-date. Analyze CRM data to generate reports that assist in decision-making and strategy development.
- Administrative Excellence: Provide comprehensive administrative support including managing calendars, scheduling critical meetings, arranging travel, and processing expense reports, ensuring optimal use of the team’s time.
- Marketing Material Development: Collaborate with the marketing team to create and update brochures, presentations, and other promotional materials. Ensure all materials meet brand guidelines and communicate our value proposition effectively.
- Client Engagement: Serve as a point of contact for client queries, enhancing client satisfaction through prompt and courteous communication. Facilitate client onboarding and maintain ongoing communication to foster strong relationships.
- Event and Webinar Coordination: Organize and coordinate logistics for trade shows, conferences, webinars, and other promotional events that align with business development goals.
- Market Research: Conduct market analysis to identify trends, competition, and new market opportunities. Prepare detailed reports and presentations for the management team to support strategic planning.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Marketing, or a related field.
- Experience: 3+ years of experience in an administrative or business development role within a professional services environment, preferably in the AEC industry.
- Technical Skills: Advanced proficiency in Microsoft Office Suite and experience managing CRM systems, specifically Deltek Vantagepoint.
- Communication: Exceptional communication skills, both verbal and written, with the ability to produce clear, persuasive, and concise documents.
- Organizational Acumen: Demonstrated ability to manage complex projects and prioritize tasks in a high-pressure environment.
- Interpersonal Skills: Strong interpersonal skills with a proven ability to build and maintain relationships with clients, partners, and internal teams.
Preferred Qualifications:
- Certifications: Professional certifications related to business development, project management, or CRM systems.
