Job Description Summary

Reporting directly to the Director of Finance, the business manager will play a key role in the financial management of the Colton Center for Autoimmunity. The Business Manager will be responsible for providing comprehensive financial analysis, planning, and support for the Colton Center's research initiatives and operations. This role will work closely with research teams, leadership, and external stakeholders to ensure optimal financial management and resource allocation. They will ensure business units’ compliance with university policies and procedures and provide mentorship and support to business unit staff as needed.

Job Responsibilities



+ Assist the Director of Finance in developing/ implementing annual operating budgets for general unrestricted and school designated funds. Provide financial administration associated with institutional and gift funding including modeling, forecasting, assistance with long- and short-term planning for both gift and non-grant funds.


+ Provide daily ongoing oversight of expenditures; develop and maintain quarterly reports and projections, assist with preparation of annual operating budget; prepare Colton related narrative and financial sections for the annual report.


+ Oversee procard reconciliation process, perform initial concur review, initial purchase order review, and manage budget-to-actual variances / provide recommendations for corrective actions


+ Maintain salary grids & provide recommendations for corrective actions


+ Assist Director in conducting cost analysis for service center and processing unit which includes setting rates, monitoring expenditures, tracking cohorts, and creating / maintaining the annual budget


+ Serve as the liaison with Audit and Compliance, respond to inquiries and provide documentation and back-up for processes related to purchasing, travel, human subject payments, payments to non-Penn individuals using existing policies in place


+ Complete foreign finance reporting: quarterly BE-125 reporting, annual Schedule F reporting.


+ Represent business office at appropriate University meetings such as the monthly Association of Business Administrator’s meeting as well as other financial and project-related meetings


+ Maintain knowledge and understanding of university financial policies and procedures. Interpret and effectively communicate changes to existing policies and the development of new policies.


+ Other duties and responsibilities as assigned





Qualifications



+ Bachelor's Degree with 3-5 years of related experience or equivalent combination of education and experience is required. Expected competencies include excellent organization, strong detail orientation and follow-through. Demonstrated ability to manage time effectively with multiple projects on different timeframes, ensuring all deadlines are met. Demonstrated ability to deal with highly confidential information and act as a liaison between senior management and other constituencies, both internal and external. Excellent communication skills. Strong computer/technology skills. Previous experience working within an academic research institution is preferable.
