Blue Jay Springs Assisted Living and Memory Care in Green Bay, WI is looking for a Full Time Business Office Manager.
Position Summary: The Business Office Manager provides crucial clerical and administrative support to department leaders and the Executive Director. This role involves organizing and maintaining resident and staff files, tracking resident charges, performing billing functions, and assisting with payroll and benefits administration. The Business Office Manager ensures a professional office environment to facilitate smooth community operations and addresses office workflow issues. This position also serves as the primary contact for job applicants, conducting pre-employment assessments and onboarding tasks, while performing additional duties as assigned by the Executive Director or their designee.

Essential Functions and Responsibilities:
- Uphold CAPLICO Core Values and Code of Conduct at all times.
- Ensure compliance with Resident Rights and HIPAA policies.
- Maintain current and closed resident files according to policy and regulatory requirements, including vendor agreements and insurance certificates.
- Orient residents to the billing process and prepare/distribute monthly statements.
- Process all community accounts payable invoices and maintain the petty cash account, ensuring accurate financial records.
- Track daily census data, including admissions and discharges, and provide census information for billing purposes.
- Maintain accurate staff personnel records and data in the payroll/human resources system.
- Process payroll in accordance with community deadlines and maintain staff schedules.
- Serve as the central point of contact for job openings, collaborating with management to identify staffing needs.
- Assist in recruiting candidates, conducting interviews, and participating in the onboarding process.
- Conduct background and reference checks for applicants.
- Support department leaders in staff retention efforts and coordinate internal and external recruitment activities.
- Maintain open communication with staff, residents, families, and the public; greet visitors and handle inquiries courteously.
- Report safety hazards and maintenance needs; ensure safety precautions are followed.
- Answer incoming calls, direct calls, and take accurate messages.
- Prepare and manage correspondence, documents, and office supplies.
- Attend staff meetings and participate in continuing education sessions.
- Perform other duties as assigned by the Executive Director.
- Provide administrative and functional supervision over business office staff.
- Office environment with frequent movement throughout the community.
- Subject to interruptions and interactions with residents, personnel, and visitors, including those in distress.
- Exposure to health risks associated with working in a healthcare setting.
- Frequent movement; ability to stand/walk for up to two hours, sit for up to eight hours.
- Occasional lifting of up to 20 pounds; frequent kneeling, bending, and reaching.
- Must have good general health, emotional stability, and the ability to work with a diverse population.
- Proficient in English, both written and verbal.
- Ability to make independent decisions and handle emergencies calmly.
- Strong interpersonal skills to interact tactfully with residents, staff, and the public.
- Well-groomed and professional demeanor.
- Competency in operating office equipment and willingness to learn new technologies.
- High School diploma or GED.
- Prior office and payroll experience preferred.
- Experience in interviewing, training, supervising, and evaluating office staff is preferred.
