About the Job
The Business Office Manager is primarily responsible for revenue cycle management. This includes but is not limited to: accounts payable and receivable, billing, record keeping, data management and information system reports. The Business Office Manager assures accurate and efficient information in accordance with professional accounting practices and government regulations
ESSENTIAL RESPONSIBILITIES AND DUTIES
Accounts Receivable/Collections
- Responsible for collecting accounts receivable for Private Pay and Resident Liability Accounts to include follow-up until status is paid in full or sent to collections.
- Resolve balance disputes as needed/requested from responsible parties/residents.
- Maintains status of delinquent /problem accounts and notifies the Accounts Receivable Director and the Administrator of these accounts as they arise.
- Prepares analysis and reconciliation of accounts of Private Pay and Resident Liability Accounts.
- Takes incoming payments received on accounts and deposits to bank.
- Posts payments accurately in accounting system.
- Sends out monthly Private Pay/Resident Liability Accounts statements to families.
- Answers questions from families on accounts to include Medical Assistance.
- Assists families with Medical Assistance applications and follows up with counties and/or families.
- Submits monthly Medical Assistance invoice to the State of Minnesota.
- Follows up on denied claims and resubmit claims accordingly. R
Accounts Payable
- Uploads all invoices into DSSI.
- Codes and submits invoices assuring payments can be made in a timely manner.
- Acts as facility contact for all A/P questions/concerns.
- Maintains working knowledge of general ledger accounts.
- Oversees retention of invoices maintaining seven (7) year requirement
Development and Implementation of Goals and supervision of staff
- Reviews, analyzes and interprets financial data to monitor progress toward established goals; identifies deterrents to success and implements improvements as necessary to enhance efficiencies and results; facilities effective problem resolution and development of business office goals and objectives.
- Participates with Administrator in hiring, firing and evaluating Business Office staff.
- Supervises and monitors staff to assure policies and procedures are followed as outlined by Monarch Healthcare Management.
- Supervises the training of new employees to their duties.
- Expresses appreciation to staff as needed, motivates staff.
- Performs performance evaluations for employees in a prompt, fair, consistent manner.
- Performs other duties as assigned by Administrator.
Establishes Healthy Relationships and Uses Professional Conduct with Other Health Care Professionals, Residents, Families, Visitors, Supervisors and Co-workers
- Is courteous and cooperative with residents, families, visitors, supervisors, and coworkers.

- Always maintains resident confidentiality. Understands the need for complete privacy of all health care data.
- Abides by and promotes customer service and the Continuous Quality Improvement Program of Monarch Healthcare Management.
FACILITY COMPLIANCE
- Maintains departmental records
- Attends meetings as directed to include departmental meetings, Quality Assurance meetings, etc.
- Attends continuing education/in-services pertinent to your department
- Maintains and applies knowledge of current policies and procedures as it relates to your job responsibilities. Educates Business Office personnel about new standards and policies as needed.
- Maintains current knowledge of federal and state regulations particularly those relating to the Business Office
- Is knowledgeable of and abides by the importance of the Residents’ Bill of Rights
- Promotes a highly positive workplace centered on strong customer service, inclusivity and ensuring staff feel welcome and supported.
- Ability and willingness to work some evenings and weekends as directed by supervisor.
QUALIFICATIONS
Education and Experience
- Must have Associate degree in accounting, healthcare administration or business management preferred or high school diploma with 5 years of business office experience in and/or related to healthcare billing.
- Must Possess current knowledge of account receivable management, basic accounting procedures, insurance/third party billing procedures and computerized office system operation.
- Must be Able to communicate, both verbally and in writing, to effectively guide direct reports, communicate with co-workers and relate and respond to upper management.
- Must be able to perform essential functions of the position with or without reasonable accommodation.
- Must qualify for employment, after criminal background check, per guidelines of the Minnesota Department of Human Services.
Preferred
- Experience in healthcare, skilled nursing facility or assisted living community
