BUSINESS OFFICE MANAGER, ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Direct the Business Office (Accounts Payable and Medicaid Specialist as well as RFMS) functions. Ensure compliance with federal, state and facility policy. Resolves all issues as it relates to the above
- Organize, evaluate and monitor the business office operations and personnel in accordance with established policies and procedures.
- Manage daily census and communicate changes to the billing company and corporate office.
- Assist residents / families as necessary, or refer to appropriate departments.
- Oversee all aspects of the Resident Trust Fund; ensure compliance with Federal, State and Facility guidelines; properly safeguards resident funds entrusted to the Business Office; receipts and deposits all funds received per facility policy.
- Supervise the data entry of all aspects as it relates to demographics and payer.
- Assist the 3’rd party contractor in the review of the Medicare billing process (Medicare entitlement verification, Medicare A & B Logs, Pended Claims, Medicare Denials and Appeals, Medicare Credit Balance Report, proper documentation.
- Review the Medical Assistance process (Medical Assistance Applications, Billing Rejections, Resource deductions as appropriate, proper documentation)
- Assist the 3’rd party contractor in ensuring all information for Private Pay billing and Other Payer Process (Private Pay statements, Managed Care, HMO and all other Insurance Payers and proper documentation) is accurate and promptly reported.
- Complete the Month End Close Process, reviews all reports for accuracy and completes adjustments / reconciliation’s as appropriate.
- Hire employees and complete Performance Evaluations for department staff, discuss salary/wages and terminations when necessary with the approval of the Executive Director.
- Pursue past due accounts consistently and maintains proper back-up documentation as directed
- Assure completion and processing of all MA reapplications.
- Assists Business Office Clerks in financial interviews.
- Comply with Health Insurance Portability and Accountability Act (HIPAA) regulations.
- Must be an active participant in the facility’s Quality Assurance/Performance Improvement (QAPI) program and Performance Improvement Project (PIP) and carry out roles and responsibilities as assigned. Must attend trainings for QAPI, follow policies and procedures in support of QAPI efforts, and support QAPI initiatives and findings. Must also report potential or actual non-compliance issues to the facility’s QAPI committee.
