About the Job
This role assists the Chief Operations Officer with day-to- day operations while increasing overall efficiency and will help support several administrative departments that report to the COO. Responsibilities will include but are not limited to planning, logistics, and operational work; and providing comprehensive administrative support to assure the smooth running of a national law firm.
ESSENTIAL JOB FUNCTIONS:
- Perform a variety of complex administrative functions to provide sufficient operational support
- Provide operational support for special projects; research and obtain information, help plan and ensure follow-through
- Project management support for COO
- Assist with analyzing and organizing departmental data, reports and other work as needed
- Operate independently to meet the requirements of the leadership team and offer expertise to assist other functions within the organization
- Prepare and organize information/documents for projects, meetings, etc. that support the COO and Leadership Team
- Maintain communication as needed with Leadership Team on behalf of COO
- Help manage and prioritize the COO’s calendar and resolve scheduling conflicts
- Use Microsoft Office suite to compile and generate reports, statistics, graphs, correspondence and presentations as requested by COO and/or Leadership
- Assists COO in preparation for meetings and presentations
- Coordinate and maintain any reporting needs for COO, Facilitation Committee and/or Leadership Team
- Respond to needed correspondence, composes letters, memos and other required documents
- Craft email communications as requested by COO
- Coordinate and organize special Leadership events that take place throughout the year
- Prepare meeting agendas, take meeting minutes and follow up on actions items from meetings
- Files, maintains and audit firm records and other important firm documents
- In collaboration with COO, management of special tasks and projects to ensure progress towards planned objectives and timelines are met
- Manage all documents that require review, approval and or signatures of the COO
- Maintain sensitive and confidential information
- Additional duties as assigned
EXPERIENCE/REQUIREMENTS:
- Bachelor's degree
- 3-5 years work experience
- Possess a great attitude and has a team player mentality
- Excellent attention to detail
- Possess excellent time management skills, able to establish priorities
- Possess excellent organizational skills
- Ability to maintain the confidentiality of sensitive information
- Proficient in Microsoft Office
- Ability to communicate effectively and professionally
- Self-starter with the ability to multi-task while maintaining attention to detail
- Ability to adapt in an always changing, fast-paced environment
- Exhibits initiative, responsibility, flexibility and leadership
- Experience working with remote, collaborative team members
- Ability to use practical knowledge of the working environment to meet established goals and objectives
BENEFITS:
This role offers an annual salary. The annual salary range for this position is $55,000 - $75,000. Actual pay may be adjusted based on experience and other job related factors permitted by law. This position also offers a full benefits package.
