Overview:
Operation Support Services serves as an internal support center for work processes involving Individual Life and Annuity products. Associates within this department balance independent work with a team environment in an area that experiences fluctuating volumes, daily time constraints and continual improvements in operational efficiency.
Operation Support Services Representatives provide excellent customer service performing a variety of support activities for Life Policy Administration, Life New Business, Annuity Policy Administration and Annuity New Business. Services including the assembly and mailing of new issue life/ annuity policies and in-force reissue policy pages, advisor and life/annuity image and electronic assembly of facultative Reinsurance cases and address changes.
Responsibilities:
Performs a variety of support activities for Policy Services, New Business and Annuity Services (55%)
Sorts and distributes a wide variety of system and manually generated output to the client, advisor and imaged file
Reviews and distributes system reports to internal business partners
Processes output to be distributed to the client, Life Policy Administration, Claims, Annuities and Systems Administration when appropriate
Replies to customer email requests to pull output
Assembles new issue life insurance policies and in-force reissue policy pages and prepares for distribution to advisor or client (40%)
Assembles the client’s contract and sorts policy forms to ensure the advisor, insured, policy owner, and home office receive the correct documents
Utilizes VISTA Web system to manage the outstanding requirements, policy mailing date, delivery date, and/or underwriting expiration date
Forwards policy by mail to the advisor or client within daily deadline timeframes
Updates home office files with copies of all documents, if not already imaged
Prepares client files to be distributed to external reinsurance partners
Monitors incoming emails and referrals for notification
Assembles client files in electronic format and transmits to the appropriate reinsurance company
Performs related activities as directed and manages personal self-development to prepare for new responsibilities and challenges in a changing environment
Qualifications:
Understanding of Individual Life products, work processes and procedures related to Operation Support Services, Life New Business, Underwriting and Life Policy Administration to ensure appropriate assembly and timely distribution
Working knowledge of systems used in performing assigned job responsibilities, including the Client Foundation System, VISTA, AdminServer, Lotus Notes, REM, Adobe Acrobat Professional, Microsoft Word and Microsoft Excel
Communication skills to interact with department and other home office associates
Ability to follow detailed workflows via online documentation and perform each job accurately and efficiently
Strong attention to detail to ensure life insurance policies are assembled accurately, return mail is handled within 38a-1 regulation timeline and output is processed correctly.
Ability to work independently when appropriate and/or seek assistance to determine appropriate handling of policy and client information and other requests for information
Organization and planning skills to prioritize workload and adjust to changing priorities
