Job Summary:
As the Capital Projects Coordinator, you will be the go-to person for our Technical Services team, ensuring seamless communication, project support, and accurate system updates. You’ll play a critical role in maintaining project momentum and ensuring that all stakeholders are informed and satisfied. This position offers a unique opportunity to develop your skills in project management while contributing to the success of our company.
Key Responsibilities:
- Primary Contact for Technical Services:
- Be the friendly and efficient first point of contact for technical services calls.
- Manage incoming calls, provide information, and ensure that callers are transferred to the right team members.
- Deliver a high level of customer satisfaction by addressing caller needs promptly and effectively.
- Project Support:
- Collaborate closely with the dispatcher, project coordinator, and specialists to support various tasks.
- Get hands-on experience in generating bid invitations, dispatching, entering bid details, and managing third-party systems.
- Handle follow-up communication with contractors via phone/email and keep checklists and reports updated.
- Assist in compiling contractor Notices of Award (NOA) and related checklists.
- Generate change orders in Salesforce and perform daily weather checks to confirm project status with on-site contractors.
- Third-Party System Inputs:
- Ensure that project schedules are accurate and up-to-date across all systems.
- Maintaining Contract Files:
- Keep meticulous records of all contracts and related documents, both in electronic and physical formats.
- Organize Daily Progress Report Logs, completion photos, punch lists, changes, amendments, and close-out documents.
- Utilizing Computer Software:
- Use Salesforce as your primary tool for project management.
- Work with Microsoft Office Suite and other project management software to ensure all tasks are completed efficiently.
- Performing Other Essential Duties:
- Step in for other roles within the Technical Services department as needed, based on the current operational requirements.
Knowledge, Skills, and Abilities:
- Strong understanding of business ethics and confidentiality.
- Excellent communication skills for interacting with internal and external stakeholders.
- Ability to maintain follow-up communication and manage multiple tasks simultaneously.
- Positive attitude and ability to work well within a team environment.
- Eager to learn and proficient in using Salesforce, Microsoft Office Suite, and other related software.
- Keen attention to detail with a focus on accuracy and efficiency.
- Strong time management and organizational skills.
Minimum Qualifications:
- High School diploma or equivalent.
- At least six months of customer service experience.
Preferred Qualifications:
- Experience in construction or project management is a plus.
