Summary
The Client Relations Coordinator will provide support to internal team by completing sales order processes and administrative tasks to efficiently and accurate capture data required for all projects associated with assigned client. This will allow for a smooth business flow, efficiency, and provide complete details to internal clients and team members.
Essential Duties & Responsibilities include the following. Other duties may be assigned.
- This position will be supporting the owner of the organization by performing administrative tasks and duties for projects with key clients.
- Provide acknowledgements on client and internal team correspondences such as emails, quote requests, purchase orders, etc. for assigned clients
- Coordinate client calls and gather notes and data from meetings to process for communication to internal team, and/or enter into database ie, Monday.com, ERP system
- Complete request for quotes by gathering and entering required details into database, submit completed estimates to clients for review
- Write and enter detailed work orders, update information in various databases
- Provide feedback/follow up on items requested per client and internal team. Coordinate and set up calls with clients
- Create work orders, review purchase orders, gather and update missing information into database
- Update and maintain project management database with pertinent information
- Gather and update pertinent information such as carton copy, art approval, shipping information from client to keep project moving through pipeline
- Coordinate logistics for project shipment, including creating labels, gathering freight quotes to provide to clients,
- Track and update additional charges incurred throughout a project outside of the approved purchase orders and ensure updated purchase orders are received capturing additional charges and fees
- Attend in-person meeting when clients are visiting facility onsite
- Potential travel opportunities to visit clients
- Maintain organization of communications, notes, and communication to/from internal/external team
- Notify team and clients of changes within projects in real time
- Maintain electronic filing systems and procedures of artwork, designs, die-lines, purchase orders, work orders, etc. and ensure that all files are updated timely
- Special projects as required
Education and/or Experience
- Associates degree or above is a plus
- Basic knowledge and understanding of sales processes strongly preferred
- Minimum of one year of administrative duties experience required
- Advanced experience with MS Excel strongly desired
- Intermediate experience with MS PowerPoint, Word, Outlook required
- Experience in manufacturing environment preferred
